How to hide section Headings at print time?
I'm using Word 2003 & have a document of several hundred pages that is divided into chapters (Header 1) & sections (Header 2).
I need to be able to see & retrieve the Header 2s when working on the document, but would like to print w/o seeing section headers. I know I can make the section headers invisible by changing their font color to white at print time but was wondering if there was a more automatic way of having Word know to not print lower level headers. Also, if possible, having them disappear in Reading Layout View mode. Thanks for any suggestions. Hope this is clear enough. Last edited by inframan; 08-09-2012 at 02:37 PM. I'm sorry. I've been working with Word for more than 20 years and I don't know what a chapter header or section header is. See Sections / Headers and Footers in Microsoft Word 2007-2010. I think we are stuck on terminology.
Perhaps you could post a sample document with dummy text to not share confidential information. |

I should have said Headings rather than Headers, sorry.
I need to use Headings (Chapters & sections) for a TOC. But I want to hide the section Headings (Heading 2) when printing. What I do now is just change the Heading 2 format color to white for all section Headings. Hoping for an easier (i.e. toggled switch) solution. Sorry for the confusion. PS..Headers & footers are no good for my purpose. |

OK. So, you want the headings to show up in your TOC, but not in the printed document?
Consider using TC fields instead. http://office.microsoft.com/en-us/wo...in=HA102110133 Otherwise, change the formatting of the Style Heading 2 to white. That way, it is one quick change rather than scouting through your document. (With the Navigation pane in Word 2010 finding all Heading 2 is very easy anyway, but changing the formatting directly would be a pain.) |

Hiding section headings...
Where I want the section headings to appear is at the beginning of each section on the screen but the not at print time. The TOC is fine as is. The TC fields feature isn't what I need & isn't available in word 2003 anyway.
I already convert the headings to white as I stated in my last post. Thanks anyway. PS, I've been using Word for 20+ years too. As Churchill said about democracy, it's a lousy system but it beats its closest rivals. Quote:

Other than intercepting Word's Print routine and temporarily changing the Heading 2 Style's font attributes, there is probably nothing else you can do to achieve your goals.

TC fields have been around since at least Word 97 and I think since Word 2. They are old technology.

FWIW you could automate the process with a macro like:
Code:
Sub FilePrint() Dim FntClr As Long With ActiveDocument FntClr = .Styles(wdStyleHeading2).Font.ColorIndex .Styles(wdStyleHeading2).Font.ColorIndex = wdWhite Application.Dialogs(wdDialogFilePrint).Show .Styles(wdStyleHeading2).Font.ColorIndex = FntClr End With End Sub
