Question regarding templates/forms
Hi all First off, I'd like to say I've gone on this forum a few times to see if there's been a solution to any issues i'm having and i've always found my answer in a quick search, so thanking you all!
So let me get to the point. I'm a receptionist. I print over 200 letters per day, it's quite hectic and takes time. For a completely unrelated matter, I have an Excel document in which I can input info into a certain box, save it, then open an accompanying word document, and the info I inserted into the excel doc, sorta inputs itself into my word document in a specific template. Yeah, I thought that was pretty cool. I'm just wondering, can I do one of these 'transfer' documents myself? For my mail templates that is. In my letters, the only things I change are the Name/Address, Dear "person" and a date that something is expiring. The rest is left normal as all the other info relates to every person recieving the letters. If it's possible, I'd like to be able to have an seperate document where I for example, may have 3 collumns. One is for addresses and name, the next is for the Dear _____ line, then the last one is for a specific date. Then once I save this and it creates a bunch of documents which replace all the info in their specific areas on the letters so I dont have to type all the new info, press print, replace with new info of next person, press print, replace with new info, press print...and so on about 200 to 300 times. There could be completely different and easier way to do this. I feel like my explanation is terrible as I don't know what the process is really called but if anyone could give me some insight, that'd be fantastic and would make my work ALOT easier! This is called a mailmerge.
Traditionally mailmerge is used to send a bunch of people one messagae, individually addressed, but it can also be used to simply have a data file and fill in various forms using the data for a single individual from the data file. See Mail Merge |
