Importing Data from Excel - Format of table messed up in Word Table
I have an .xls file that contains 3 long columns of data - "Item #" , "Description", and "Quick Ship". The goal is to take this data and insert into an already formatted Word table.
So, I select all the data in the Word table, and I paste special (Unformatted text is the only option that will work, the others lock and freeze up) the data from excel. Everything looks fine, until I scroll down and notice the formatting (see picture) is wonky for a few of the rows throughout. The picture shows two pages, the first is exactly how I wish everything to look, and the second shows the formatting issue. Any idea how to fix that? It is driving me nuts! Update: I noticed the issue was occurring with the rows of data that did not contain any description, so in Excel I painfully scrolled through that column of data and filled in "No Description" in the blank cells. I recopied the updated data but the issue was still there, only this time, like in the picture, the description cell was filled in just off kilt from the rest of the table. |

You say you pasted using 'unformatted text', but that paste option doesn't produce (or fill) a table. The only way you'd get a table out of Excel data pasted as 'unformatted text' is if you then used Word's 'convert to table' process, in which case (assuming you used Word's defaults), I'd expect to see the entire table displaying three equal-width columns all the way down, including for empty cells.
As for Word freezing, that suggests you have a faulty Office installation, which will require uninstalling & reinstalling to fix.

I went through the paste special options and the unformatted text was the only one that worked! I just tried (again, I've tried everything!!) copying one column of data to word. Then I click 'Convert to Table' - hoping that I could then add an additional two columns but the problem is I have 12,751 rows of data, and the dialog box prompts I can only have a MAX of 4000.
As for pasting 'unformatted text' - it DID work, somehow, someway it filled the existing table with the new data. It just left this dreadful formatting error in a few spots. |

Why are you trying to insert 12,751 rows of data into Word anyway? Word really isn't designed for such large tables and its performance will really suffer with one that big!
Depending on the tools available on the Mac, you may be able to address the column issue via the 'Distribute Columns' tool, which is supposed to make all columns the same width.

Yes Mac you're right - I am asking way too much from MS Word!
I have decided to take a different approach - breaking the initial data up in to sub tables and so on.. Thanks for the help! Case closed. |
