Hi this is my first post, so please excuse me if I am not familiar with group norms.



I have searched google many times, read the help docs and MS support forums, but cannot find a way to do the above.

Basically, I am doing high-level planning now and I want to assign multiple people to one task, with each of them rolling on and rolling off the same task at different times.

Eg the task name is "Build software module X". A will work from Jan to Feb on this task, B from Jan to Mar, C from Feb to Apr, etc. The overall task X will run from Jan to Apr, in this example. But I can't find a way to assign A, B and C only for specified periods of time to task X.

I know I can create three subtasks X1, X2 and X3 with individual durations, assign them to A, B and C and have a summary task X covering X1, X2 and X3.

But at the high-level planning stage, I don't want to create X1, X2 and X3. Because it's really troublesome, esp. if I have lots of people to assign. Further, I may even assign people to multiple tasks within the same month, so that A could for example be assigned to X and Y in Jan, and X and Z in Feb. Of course with the proviso that A is 50% on each task in Jan and Feb.

My aims are two fold:

a. Overall, I want to confirm that each task X, Y and Z are assigned enough resources over their duration to meet the work estimate. In other words, if X was a 3 man-month task, I want to see that the total assignment of A, B and C during Jan to Apr is 3 man-months, including any adjustments for < 100% assignment.

b. For each person A, B and C, I want to see his calendar to know which project he is working on which month, when he will roll off each project and roll on to the next project.

For those in the consulting industry, you will appreciate why we need to see when consultants are free and when they are multi-tasked on paid assignments.

Can anyone share how they have done this in Project?

I have tried playing with resource calendars, working times, etc. to no avail.

The only way I can find is to treat resources as tasks and tasks as resources, as shown iin the first diagram in the attachment. Then, as shown in the second diagram, I can see each person and when he rolls on/off each project.

But this completely reverses Project by treating resources as tasks and vice versa. Is there a better way? Is there a way to input tasks as tasks and still allow different people to roll on/off the tasks at different times?

Hi waileong,

Use the Task Usage view to spread hours during the time period needed for each individual assignment under a task in the time-phase window.
