Finding gaps in a programme
I'm putting together a programme for our painters to paint buildings. The can only paint the buildings when the price has been agreed, which is different times of the year for different buildings - January, April and September so far. So I've programmed 3 buildings after January, 5 buildings after April and 2 in September. The durations are different for each building but I've made it so as soon as they finish one building they start on the next. How can I find out, quickly, either using a column or something indicative on the ganntt chart how much time is spare once the lads have finished painting please? The way it lies at the moment is Januarys buildings are done by mid Feb, so I need to send the guys to paint or go mend something somewhere else til Aprils painting is ready to kick off, but I would like to see easily how many days there are between batches of painting. I'm don't think the Gantt chart view is the best choice to discover this information. The only timescaled view is the graphic on the right. Certainly collapsing the summary tasks (assuming you have created summaries for each of the runs) will show you the gap.
I suggest looking at the Task Usage view (with the Project Summary tasks visible) zoom out to weeks or months and look for the gaps. The Resource Usage view with Remaining Availability added to the timescaled side (right) will also show you when your crew is available for other work. |

Ah the thing with the summaries is, on some of them, I have a bar for "Tender period", then a bar straight after for the painting works, because for *some* of the works there may be a consulatation required.
So when I roll up the summaries, they overlap... Im not entirely sure what task usage/ resource usage view is, but I wll start looking at them now. Is there no other way like, putting in a column on my sheet that will say how many days are between 2 tasks? |

No, you cannot calculate values in a custom field comparing two tasks. You can filter the list of tasks to show tasks only assigned to the resources of interest to help discover gaps.

Again, look at the Resource usage view. Add the Remaining Availability field to view when the resources have availability.

Hi Julie, its not the gaps in rescources I'm looking for, its gaps between tasks.
Or will this tell me the same thing? |

If the resources are assigned to the tasks, they will have availability in the Resource Usage view.

Hi,
I think I found a solution, Ive switched on "show slack" on the gant chart and changed it to red and a thicker line to help it stand out. This is showing me where there's gaps. Thanks for your help. |

Slack shows gaps in tasks - but not necessarily with a specific resource. However, if it works for you - great
|
