Ciao, I use a "master" project to which various Sub-Projects and a pool of resources are attached . I would need to know, for every month, the hours devoted to each Sub-Project and know how the hours are divided into the various resources. For example what I'm trying to do is: subproject 1 takes 200h in April, subrproject 2 takes 30h,...resource 1 works 50h for subproject 1 and 10h for subproject 2...and so on. How can I do? Thanks

You'll need two custom groups:

For the Projects and Resource hours per project:

In the master file, apply the Task Usage view and create a group that groups by Project and then by Resource Name. Click the Check box for "group assignments not tasks" and select Assignments in the field type for the Resource Names row. Zoom out of the Task Usage view to show months.

For the Resources and Projects hours:
In the master file, apply the Resource Usage view and create a group that groups by Name and then by Project. Again, click the Check box for "group assignments not tasks" and select Assignments in the field type for the Project row. Zoom out of the Resource Usage view to show months.

Let's start with the first.
The method outlined works very well if I want to know how the resources are divided into several sub-projects.
Instead, if I want to see how the hours are divided into several sub-projects, the method has a bug.
Infact, this happens when the master file connects the sub-projects that in turn contain other sub-projects: if the master connects the sub-project 1 that contains not only some tasks but also another sub-project 1A, 1B, etc...then the proposed method can to see the hours of the programmed tasks but not those listed in the sub-1A and 1B.
How can I see all the hours contained in sub-projects of a master plan's sub-projects?

I'm afraid the [Project] field used in the grouping will not recognize any subprojects as separate from the project. The best I can suggest (other than being very careful about multiple layers of subprojects) is to manually code the sub-subproject tasks in some manner and apply the third level group to pick up those codes.

May I ask why you have some a complex structure? My concern is the possibility for corruption in the files unless this is very stringently monitored and controlled.

I wanted to ask you one last thing: with the method you suggested, is it possible to see not the worked hours but, for each resource, the ratio of the worked hours on a project and the total working time actually carried out in a month? For example, resource 1 works 75h for project 1 and 25h for project 2, the rest of the month is non working time: I would like show that in the month resource 1 spends 0.75 of working time for project 1 and 0.25 for project 2. I could do it in excel, I wonder if it is possible to do it automatically in Project

Work is shown in hours but you can add the Percent Allocation field to the detailed (right hand side) of the view. That will show you the percent of maximum units the resource is working. It will show in percentages.

Hello JulieS, it seems to work, but not completely: infact, the method indicates the hours and the percent allocation of each task that composes a subproject, it also shows the total hours of the subproject, but not the overall percent allocation of the subproject. It 's strange!!!

When zooming out to a monthly level I am seeing % Allocation rolled up to the Project level - but not the Resource level. Is this not what you are seeing?

Hello Julies, I make these operations.
I apply the resource usage view with the group created by name and then by project, in detail styles I add percent allocation and work, then view->outline->outline level 1: I see the resources and only the total work in hours relative to each resource per month but not the percent allocation.
Other example: with view->outline->outline level 2 I see not only the resources but also all the sub-projects for each resource, but again I see only the total work in hours relative to each subprojects per month but not the percent allocation, instead, I would like see this percent allocation!
Finally: with view->outline->outline level 3 I see the resources, the subprojects and the single tasks that composes each subproject: only in this case I see total work in hours relative to each tasks per month and also the percent allocation, but I don't care to see the percent allocation of the single task, I'd like to see the percent allocation of the sub-project.

Sorry if I have not explained well

What version of Project are you using and what service pack is applied? In Project 2010 with service pack 2 and the most recent cumulative update I see Percent Allocation in the Resource Usage detail styles rolled up to Outline Level 2.

Hello Julia, I do not think it depends on the version of Project, or the service pack of Windows.
I created an example saved in file attached: you can see that the resource Paperino shows both the total work and the percent allocation only for sub-project Car, while for the project Bike it displays only the total work.
The same thing happens to the resource Pluto for sub-project Car!
In both cases, Bike for Paperino and Car for Pluto, the sub-project consists of more than one task, while the others consist only of one task and so it displays both work and percent allocation!
Do you see another thing with your version of Ms-Project?

I think I see the differences - if I only have one assignment per project, the % allocation correctly rolls up as it does for you for Paperino on the Car project and for Topolino on the Bike and Car projects. Do Paperino and Pluto have more than one task assigned in the Car project?

Yes JulieS, that's the problem: when a resource has more than one task assigned in the sub-project, it displays correctly the total hours but not the total percent allocation. I have attached previously a zip file: do you see the same thing in your version of Project and service pack?

Yes, I do. When the resource is assigned to more than one task in the timeframe, the percent allocation value does not roll up to the project level. I do not know why.

The best I can suggest is to see if you can copy/paste the data out to Excel and perform the calculations there if using the Work value isn't sufficient.
