Levelling resource's units to calculate duration task
Hello from Italy, I hope for your help, I just started to use Project.
I have a problem to level the resources, I'll explain you the reason. I have a task A with priority 1000, which has a duration of 1 year, on which the resource Giovanni is committed to 25% of his time, so I changed the units from 100% to 25% (10h a week). Let's suppose that Giovanni do another task B with priority 500 which has a working time of 3 days (24h): if I assign the start date of the task B, how can I automatically level the units of Giovanni for task B in order to know the date of finish work of task B, and so the duration? My desire is that Project, as a result of overallocated resource, changes the units of Giovanni on task B in order to allow Giovanni to work 6 hours a day and so complete the task B in 4 days but I'm not able! Ciao,
I'm afraid the resource leveling command will not do what you seek. If you assign Giovanni at 100% to task B - Project will flag the resource as overallocated but it will simply delay Task B until the finish of Task A. If you know that Giovanni is already committed at 25%, can you just assign Giovanni at 75%, enter the 24 hours of work and Project will calculate 4 days duration? Try splitting the screen to show the Task Form in the lower pane and assign Giovanni at 75% and enter 24 hours of work on assignment. I hope this helps. |

What you have suggested is a good idea, unfortunately not very suitable when you have more than two tasks at the same time: in this case the manual calculation of units to assign could be very laborious I hope we can do it automatically through priority in the next update of Project! |

I'm afraid resource leveling will never do that. The Team Planner view (Project Pro only) allows you to easily see what tasks a resource is assigned to and adjust assignment units if needed. You could set up task calendars so the year long task that is 10 hours is only worked on from 08:00 to 10:00. You could then assign Giovanni at 100% to that task. I guess the other question is - do you need the year long task in your project? Could you set Giovanni's maximum units to 75% and go from there?
Then assign Giovanni at 75% to other tasks and let the leveling command delay tasks of lesser importance. |

for your information, I now use this method: I have created a recurring task of 2h for every day, and than I assign Giovanni at 75% to other tasks, so I can level command tasks of lesser importance. |

For a similar situation, but this time David has from time to time tasks which will not take him 100% - sometimes 20%, sometimes 50%.
But he also has tasks which don't have limitation of Units, and can be advanced any time that he is available. Is there any method to overcome Project's inability to automatically lower Units while prolonging the tasks length? (This time there is no constant Unit value that can be used as it was with Giovanni's 75%.) Thanks! |

If you want Project to calculate unit requirements if you modify a task duration, set the task type as Fixed Work. In a Fixed Work task type - changing duration recalculates units and changing units recalculates duration - leaving work stable.

But this seems to work only when I manually change the duration of specific task. I would like project to automatically do that during Leveling of the whole project, so for the times that a resource is busy (with Task1) in 40% the parallel task (Task2) will automatically get 60% Level, and when parallel task (Task2) continues into time that resource is busy (with Task3) by 20%, the task (Task2) will become 80% Level. I realize that for perfect optimization of resources I expect that Leveling (or other) function will be able to automatically split the work, and also to modify the Level of each part of that split work. Is this possible somehow? |

Thanks, I see.
Now as some method to still somehow support background tasks and Leveling I thought of some idea. Is there a way to define some task, and give it a constraint that between Start and End day there will be at least some Minimal number of days? This way the Leveling function will be required to split this task over a long period, even if total Work Time would allow it to complete very quickly. |

You can define the task as spanning the duration of the project. Fix the duration (Task Information) and assign the work. Project will spread the work out evenly over the long duration dropping the assignment units to a low value.
Again- leveling will not change duration nor change assignment units. |
