Hi all

I am migrating around 1,200 clients from 2 different online systems onto 1.

Depending on the service they take from us - HR and/or H&S - the tasks to do this will be repeated.

Example:
Already actively using Sys 1 - HR
Already actively using Sys 1 - H&S
Spoken to about Sys 2 - HR
Spoken to about Sys 2 - H&S
Documentation ready for Sys 1 - HR
Documentation ready for Sys 1 - H&S
...... etc
Client demoed Sys 2 - HR
Client demoed Sys 2 - H&S
Client docs on Sys 2 - HR
Client docs on Sys 2 - H&S
...... etc
Client demoed Sys 3 - HR
Client demoed Sys 3 - H&S
Client docs on Sys 3 - HR
Client docs on Sys 3 - H&S
...... etc

For each of these clients there is a specific consultant attached from a list of around 10 per service which I will need to report on monthly as to how many/which clients are on what system. I also need to email reports to each consultant periodically to tell them what is outstanding and also let my board know exactly were we are with the migration project.

With the number of clients I have to migrate, I would really appreciate your thoughts on how you would approach this one as I am holding off starting the process on Project until I can figure out the best way to go forward.

I look forward to hearing any thoughts at all and would appreciate any comments.

Hi Judith,
Approximately how many tasks are there per client? Are "Sys 1", "Sys 2" clients or systems? How long do you anticipate one migration to take? How long for all 1200 clients? Does the same consultant handle multiple migrations? Can the same consultant do several migrations at a time or do you need to stagger starts?

Initially I would create a template listing all common tasks for the migration. Depending upon how many tasks per migration, you might consider creating a project file for each client and then consolidating the multiple files onto a master project. As new clients are added, you just add the new project to the master. As client projects are finished - they are removed from the master.

You could use spare fields to keep further identification per client if needed. Regarding emailing status updates, create the view you need and send a PDF file.

Hard to give much more concrete advice without some questions answered - but feel free to continue the conversation here.
