Default Backing up outlook.

Once again i come to you guys for help with outlook!



What my boss would like me to do this time is that he wants me to backup outlook for him,

what he would like the backup to do is, he would like to backup EVERYTHING!

AKA: backup all ALL emails that are currently on it,
all contacts, and everything thats on there at the moment,

he wants it to be like, if he backed up, and out the backup on a different computer, the new computer would have the exact emails and contacts as his old PC did, ( he is not planning on doing any transferring) just using that as an example of what outcome he wanted the outlook backup to be.

is this possible?

if so how?


also, what is the file name of an outlook backup?
aka .(what)?

Click "File" -> "Advanced" then under Export, click "Export"

"Export to a file" -> "Outlook Data File (.pst)

From there you can backup and save any files an folders you want.


I do not know which type of mail server you are on any you may want to let us know. The reason I mention that is because I use hotmail in outlook and do not need to backup my emails as they are always held on Microsofts server. However, I do make backups of my calendars and contacts regularly.

You can also schedule backups by going to the "Add-Ins" Tab and selecting "Backup"

we are using our own servers to hold emails on i think, but thank you very much for the information!!

Novax,

To add to the above posts, when you Export your entire mailbox, contacts and calendar information, you run the risk of corrupting the .PST if the data exceeds the Microsoft standard of 2gigs.

Best practices is perform the export of all Email data only, then a separate export of your calendar items to a .CSV and Contacts to another .CSV.

Also note, When performing an export, you will only have the items found in the mailbox on that day. Anything after that will not be stored in the .PST or .CSV.

Since you mentioned your Exchange server being In house, check to see if they have a back up restoration enabled. this is out of my scope but perhaps this link can help.

Hello,

To make backup of all the Outlook data you need to export the Outlook items to a .pst file by following below mentioned steps:

1.Go To File → Options → Advanced.

2.In Export, click Export button. Import and Export Wizard will open. Note that this wizard can also be opened by File → Open → Import.

3.Select Export to a file and click Next.

4.Select Outlook Data File (.pst) and click Next.

5.Now select the account or top level folder that you need to export for exporting all outlook objects like emails, contacts, calendar, tasks, notes etc. Check that the Include Subfolders check box is selected. Click Next.

6.Click on Browse button to specify the path where you want to save your .pst file and enter a name for file. Click Ok.
Note: Previous folder and file name will be shown if you have used the export feature previously. Also if you want to make a new file and do not want to use existing one then change name of file.

7.In Options section, you need to mention what to do when exporting the items which already exists in file, in case you are exporting to an existing Outlook Data File (.pst).

8.Click on Finish button.
