Hello,

I am Jeff and I am new to this site so hopefully I can find the information I need here. I have a project I need to do involving calanders. I know this could be automated by creating a front-end to connect to MS-Exchange to manage the requests but I am unclear how to do it. I need to know a way to make the booking of meetings and lunches automated somehow. I am attaching two files to this thread to try and get better assistance.

Attached file (test 21 apr.xls) shows a download from my calendar as example. Highlighted in yellow are the key fields of data based on how appointments are booked (per attachment – attendees user notes.doc). Column W and X are highlighted “beige” to show that this is a manual input based on the number of attendees in column Q and the defined number of table/conference rooms and their capacity. That’s where we need the help to automate the “need a table for 6 at 9”, table 1 only takes 4 .. so which tables take 6 and are free at 9?
The second step is to provide a “map of the tables”, by time, by Host. I would use the spreadsheet (once we have allocated in columns W and X to give a print out by day, by table, by time (showing a full day), by host so as to show where the gaps are for “last minute.com”, reshuffling etc. Others do this manually. Either way we could do with automation (see sample in the excel file on tab labelled “table”). This enable me to see that I have a table free at 11:00 if I need it. We then have one of these per table with several tables to a page to be able to print out each evening so that we have a copy to work from. Updating the computer as you go would be idea but I am yet to be convinced .. you have to react to demands in seconds .. not sure that all personnel would be quick enough.
