Outlook specific permissions to delegates- private appointments
We are running Exchange 2010 environment in our office. Users have Outlook 2007 installed on their workstations.
We have several public calendars and a few staff members need to create appointments and mark them as private. However once they mark these items as private, they are unable to edit/amend these appointments even though they were the ones who created these items. I need to give them permission to move private appointments that they have created, without allowing them to view/edit private appointments that others have created. Does anyone know if this is possible please? |

To aid you in finding the correct permissions, are these users delegates of the shared public calender? What is their current permission level? Do they have the write permission edit own? Best Regards, |

Thanks for offering to help... as I have not found a solution to this issue yet.. I am setting all possible permissions except ownership. To do this I not only add them as delegates but from Tools>Options>Calendar Options>Resource Scheduling>Set Permissions I give the specific delegates these permissions: Permission Level: Publishing Editor (which is the level below owner) Read:Full Details Write: Create Items, Create Subfolders, Edit Own (automatically given) and Edit all. I have attempted to replicate your issue from my local environment. I have access to MS Exchange platform 2007 and using Outlook 2007 and 2010 i created a shared calender. i did not add any users as a delegate. In the standard permissions panel i palced the exact ones you have and was able to open the calender meeting request and appointment after i hit private. To continue the testing, an attempt was made as a different user to edit the entree. the other user(s) where not able to view the entree at all. Are you on an exchange platform? what version? Where is the shared calender housed? Meaning in a public folder or shared folder that does not synchronize with exchange? Answer to these questions may help find a solution. |

Thanks again for your help. The "public calendar" was configured as a user in exchange 2003, however, we have since migrated to exchange 2010 including that user mailbox. All users in question who are needing to edit private items on this calendar are using outlook 2007. So basically the calendar is part of a user mailbox called "Boardroom X". To control the permissions. I log on to the user associated with that mailbox -(boardroom1 for example) load outlook onto that profile and control delegates and further permissions from there... as you would on any other user with a shared calendar. So strictly speaking its a user shared calendar not a public calendar...This is the way it was setup before my time here. If I understood correctly, wasn't that what you created during your testing as well? Would you recommend to move the user calendar to a public calendar in public folders? I have actually setup a room mailbox in Exchage 2010 and had the same results with private items... For some reason, only mailbox owners seem to be able to move private items around in our environment... I had a look at GPO's to see if there was anything setup previously that mentions calendar permissions, but doesn't look like there is anything... Any suggestions? Thanks again, F.Giorgio |

Ahh thank you for clarifying. We call these rooms resource mailboxes. When i performed my original testing it was on a shared calender not a calender from a resource mailbox calender. I have since recreated your issue and can confirm only the owner of the mailbox can remove,edit, or un-privatize and entree made to the mailbox. We are using exchange 07 and use the outlook web Access portal to adjust permissions and features of the resource mailbox. Investigating into all of the permissions , i did notice one permissions that may help mitigate entrees marked as private. " Always remove the private flag on an accepted meeting. If checked, private meeting requests which are accepted by the resource will be marked as public so that the resource schedule can be viewed by other people." Unfortunately after testing, any user that marks a meeting private either has to be set to public by the head admin of the resource or have this option selected. If you find something more let me know. |
