Default sahred folder can't view by other members

Hi,

I have created Documents folder where I put some important files which I would like to share with coworkers. I gave permission to them by Change Sharing Permission, but they still can't see my shared folder. Can anyone please help me.

Thanks.

mak101,

There are two ways to accomplish this.

A. Basic resource sharing - Calendar or Contacts in Outlook 2003

To share your calendar or contacts with some one else

1. Open Microsoft Outlook
2. In the Navigation Pane at the bottom-left-hand corner of your Outlook Window, click the resource you would like to share, for example your calendar.
3. Click Share My Calendar
4. In the Permissions tab of the Calendar Properties window that opens, click Add
5. Choose from the list of people in your company each person that you would like to share your calendar with and click Add. Once you are finished choosing people click OK.
6. Your newly added people are now selected as a group. You can choose a permission level for all of them by clicking in the Permission Level drop-down box. If you want to set permissions individually, click on each person and choose a permission level one by one.

NOTE: Choose the permission level you would like for these people you are sharing your calendar with carefully. Reviewers can only view your appointments but Publishing Editors have full rights to your calendar so they can add or delete appointments at any time. You may change this setting at your discretion at a later date if needed.

7. Click the OK button and you are done! Each person on the list can now access your calendar with the permissions you have assigned them.

To open another user's shared Calendar or Contacts

1. Open Microsoft Outlook
2. In the Navigation Pane at the bottom-left-hand corner of your Outlook Window, click the resource you would like to view, for example someone's calendar.
3. Click Open a Shared Calendar
4. Type in the person's name you are looking for and click OK
QUICK TIP: You only need to type in enough of the person's name so the server knows which person you are looking for. Example: If your company email directory has Bob Smith, Bob Jones and Bob Adams in it and you'd like to open Bob Adams calendar, simply type in "bob a" then click OK.
5. Repeat steps C and D if you would like to view someone else's calendar at the same time.
NOTE: Next time you open Outlook these calendar(s) will not open automatically. They will be accessible via check-boxes in the navigation pane under the heading "Other Calendars"

B. Advanced Resource Sharing - Inbox, Calendar, Contacts, Tasks etc.

Taken from an excellent how-to guide on Microsoft's Office Online Site at

http://office.microsoft.com/en-us/outlook/HA011134811033.aspx?pid=CL100626971033

Share a folder

1. To share an e-mail folder, in the Navigation Pane (Navigation Pane: The column on the left side of the Outlook window that includes panes such as Shortcuts or Mail and the shortcuts or folders within each pane. Click a folder to show the items in the folder.), click Mail.
QUICK TIP: On the Go menu, click Folder List to display the folders in the Navigation Pane.
2. Right-click Mailbox - your name, and then click Sharing.
3. Click Add.
4. Select the other person that you want to give permissions to, and then click Add.
5. Select the person's name in the list, and then for Permission Level, select Reviewer.
6. Click OK.
7. Right-click the folder you want to give the other person permissions to view, and then click Sharing.
8. Click Add.
9. Select the other person you want to give permissions to, and then under Add Users, click Add.
10. Select the person's name in the list, and then for Permission Level, select Reviewer. Click OK.

NOTE: If you want the person to be able to change items, select Editor.

Sharing sub-folders

Details: To share a folder that is not directly beneath Mailbox - user name, like the Inbox, Contacts, Calendar, Notes, or Journal folders, you must do the following on each folder that is higher in the folder tree.

1. Right-click the folder, and then click Sharing.
2. Click Add.
3. Select the other user you want to give permissions to, and then under Add Users, click Add.
4. Select the user's name in the list, and then for Permission Level, select None.

NOTE: The top folder, Mailbox - Your Name, must be shared to share any folder beneath it. The Inbox folder must be shared to share any of the folders beneath it. You can set the Inbox folder permissions to None to prevent others from viewing the contents.

Open shared folders

1. On the Tools menu, click E-mail Accounts.
2. Click View or change existing e-mail accounts, and then click Next.
3. Click the Exchange Server account, and then click Change.
4. Click More Settings.
5. On the Advanced tab, under Mailboxes, click Add.
6. Type the other user's name, and then click OK twice.
7. Click Next, and then click Finish.
8. You might need to quit and restart Outlook for the other person's folders to appear in your Navigation Pane.

Hope this helps.

Great, it worked but I had to change some permission level. I have Documents folder underneath MailBox - my name. What I did is, granted Reviewer permission to the user and then shared Documents folder with Editor permission and it worked.

Thank you very much.
