Managing contacts shared between three Users
Involved in a new business and trying to resolve managing a shared and personal address book. The scenario is that we have a mail account marketing@newcompany which contains all the eshot addresses. We each have a personal email address user1,user2,user3@newcompany. (there are three of us!) We would like to all use Office Outlook 2007. The problem I would like to resolve is that we all are able to have access to the marketing address book in outlook, adding amending contact info and this is synchronised and updated by any of us and each have our own personal address book which is not linked to the marketing address book. We dont want personal email addresses in the marketing email account. I thought about using a Live hotmail account to store the marketing addresses and each have that in Outlook and sync contacts - would that work or would it want to sync all contacts on all three PC's. OR is there a nicer solution that will work much easier.? Thanks |

It's possible, to have each user, using the same shared contact list. There is a couple of ways this can be accomplished on an exchange platform with free/busy information configured correctly. To understand if this is possible for your organization, supply some additional info; - Are you on an exchange platform? Preferred 2007. - Does your hosted provider have something called Public Folders? - Who is the owner of marketing addresses? Meaning user 1, user2, user3. - Have you attempted to share this address book with the other users by using the permissions panel or assigning the other users as delegates to the owner of the contact list? Providing answers to the above question will help get a better picture of your environment and could quicken resolution. Hope this helps. |

NO - Just client Outlook 2007 - Does your hosted provider have something called Public Folders? ISP does not provide any service - I think - Who is the owner of marketing addresses? Meaning user 1, user2, user3. Marketing address is a separate account - or will be if that is the way to go - Have you attempted to share this address book with the other users by using the permissions panel or assigning the other users as delegates to the owner of the contact list? Have not but can this be done without an Exchange Server? To give you a clearer picture - three different company accounts user1@newcompany.com, user2@newcompany.com etc - I thought I could setup another account marketing@newcompany.com and somehow share this thru Windows Live mail - remebering that it is only the contact info I am interested in Thx |

I am only aware of these all being accomplished through an exchange environment. However, the way to test this theory is simple. Whom ever the owner is of the contact list, have them, using Outlook, go into the contact list they wish to share. - right click the list, scroll down to Share - Select folder permissions and see if you can give permissions to all users that will have access to this list. Once completed, use these steps to open the contact list; 1. Open Microsoft Outlook 2. In the Navigation Pane at the bottom-left-hand corner of your Outlook Window, click the resource you would like to view, for example someone's contacts. 3. Click Open a Shared Contact. 4. Type in the email address or the persons name you are looking for and click OK Hope this helps. |
