Default unable to update private meetings in outlook calendar

Hey Guys.

I have a user who is attempting to update calendar entries and is encountering problems associated with meeting resources.

The two errors we get are:
  • "One or more recipients in this item were not usable. You need to recreate the addresses. You don't have appropriate permission to perform this operation"
  • "You marked <resource name> as a resource. You cannot schedule a meeting with <resource name> because you do not have the appropriate permissions for that account. Either enter the name as required or optional attendee or talk to your administrator about giving you permission to schedule <resource name>"
The user in question has "Publishing editor" permissions and I have attempted to elevate her to owner with no success.

Recreating the Outlook user profile did not resolve the problem either.

I am able to reproduce on my own computer despite my account having full admin rights over the domain.

This only occurs with private meetings and non-private meetings can be updated and changed without issues.

We are running on Ex2003 and Outlook 2007 .

Thanks

Default Workaround

Hey everyone,

Here is a workaround that I figured out:

When creating an appointment, add the people and book the room of your choice and mark the appointment as private and create the appointment as you would do normally. Now, if you want to make changes to the appointment or delete it this is what you do:

Open the appointment and go to the "Scheduling Assistant". You will see everyone who is part of the appointment on the list, including the meeting room. You should see a symbol of a house beside the room you booked. If you click on the symbol, you can change the type from "Resource...” to "Required Attendee". Once you change the type, change/delete the appointment and the changes should go through successfully this time. You will get a message saying that no room was booked. Just hit ok and ignore the message. All your changes will be made to the room as well and everything will be updated.

If you are deleting the appointment, then you are done. If you are changing the appointment, go back in to the appointment that has now successfully changed and edit the room back to a "Resource...”. If you don’t do this, then other people will be able to see who booked the room and who is attending the meeting (they won’t be able to see details of the meeting, only the attendees and creator). Once you change it back to a resource, you are done.

This is the workaround I figured out for now. I will be contacting Microsoft with all of the troubleshooting that I have done. I will update you guys if they figure out a fix to this problem.

Regards,

J

Alternately, you can also schedule a private appointment with the attendees only (do not include the room), then make a separate appointment (not private) with the room only. This will cause your calendar to show two separate events, rather than just one, but is still a viable workaround.
