Managing "inbox" items that need to be reviewed later
This question might be technical, but I think that it is inherently asking for administrative/productivity advice.
I try to handle inbox items as quickly as possible, and like to keep my inbox relatively empty. But I do keep items in my inbox until I've handled them, and I've always had a bit of a fear of moving them out of my inbox earlier. While an item is still in my inbox it still needs dealing with. Once it's out, it's safe to forget. Until recently I worked more or less alone, and this made matters easy. I now have a trainee who sends me drafts of documents that he and I will review in the future together. These are not items that I need to handle until our periodic review sessions. I'd like to find a way to have his draft-containing emails not fill up my inbox. I think that it will be possible to achieve this using some kind of filter. For example, I could filter emails from him that have an attachment and a keyword in the subject line. But what do I do with that filter? Automatically move the emails into another folder when they arrive? Perhaps someone out there with more experience than me, has a similar situation, and could share an insight? You could create a rule that moves messages arriving from your trainee that have an attachment and a word or phrase in then subject and move it to a different (existing) folder. If you use Outlook Today as your start screen https://www.technipages.com/outlook-today-startup and customize it to add your inbox and your trainee's folder, you can see at a glance which folders have unread messages. You should add a shortcut to Outlook today to the QAT (Quick Access Toolbar) for ease of return there.
