Hi all,

I tried to find a way to move an email based on a text inside email body.
I receive many emails and they need to be moved to a particular folder in the group mailbox. Some where in the email body there is a text that says "Bin Nr.:" and depending on the number, it needs to be moved to a folder.

There are Bin numbers starting from 1 to 10 and if email comes where the "Bin Nr.: 10" it should be moved to a folder with the name 10.

Any clues how this could work?

You can use Outlook rules to solve this problem. It will be necessary to create 10 separate rules, one for each bin number, like so:

Create a rule With specific words in the body
Make specific words "Bin Nr.: 10"
Click Next
Check the Move email to specific folder
Make specific folder the folder with the name 10

I would start with creating rule 10 and work your way down to 1 otherwise the rules will run in the wrong order (and Outlook will file emails with "Bin Nr.: 10" in folder 1, not folder 10 as you want).
You should be able to create 10 separate

Hi,

Thanks for the tip on using rules. The only thing that keeps me from using it is the fact that it is a group mailbox. I can only run rules on private mailbox.
I guess that the VBA should be a better solution as it would let me select the mailbox I would like to check the emails.

Well, there are still two things you can do before having to resort to coding your own solution:

1) Create a new Outlook profile with just that one group mailbox in it, then you will gain access to that set of rules using the normal Outlook mechanisms.
2) Use a tool like (* ahem *) the Power Rules Manager, which will allow you to edit and modify rules of shared mailboxes.
