Default Managing PST Files

After deleting an email account and recreating it, I have ended up with 2 pst files for the same email address and want to merge them.



The current situation is:

* I have one folder A linked to a pst file which is contains the last two weeks mail history. This file and folder receive and send new emails. The folder cannot be closed as far as I can see.
* The other folder B is linked to another pst file and contains everything up to yesterday. This folder cannot be closed either.

If I import B into a or move items form B into A:
  • I cannot close the folder and file to remove it from Outlook
  • There is risk of two weeks duplicates
Any idea how to merge A and B?

I am surprised Outlook is so inflexible as it appears to be impossible to link a pst file to a user chosen email account. Or am I missing something?

By default Outlook 2010 creates a new file for each account. From File > Account Settings > E-Mail, select the account and use Change Folder to indicate which folder you wish to store the data. Repeat for the other accounts. You should then be able to close the unwanted PST file.

Thanks for your reply, I could not get what you suggestion to work. I went to File > Account Settings > E-Mail Tab and could only find a Change option but not Change Folder.
I had a look under Accounts Settings and the Data File Tab. There is an option to change the data file there. However, it is restricted. I have two folders ( a new and old ) connected to the same email address and different pst files. I can move items from one folder or pst file to the other which I am doing.
However, it looks like I will not be able remove the empty folder as it is connected to an active email address.

Default Worse Than I Thought

Thanks for the reply. The problem may be worse than I thought. I may have compounded the problem further by moving items between folders and renaming pst files and I wonder about the integrity of the registry entries.

I tried to create a new empty profile to make a new start.

If I try to configure the new profile by adding a Google and/or BT email address, neither will work. I know both the email addresses, passwords etc appear correct. The error message suggests it cannot log into the server and the Google email address is incorrect:

>>>Log onto incoming mail server (IMAP): The connection to the server failed.
>>> Send test e-mail message: Cannot send the message. Verify the e-mail address in your account properties. The server responded: 530 5.7.0 Must issue a STARTTLS command first. x6sm879414wjf.24 - gsmtp

With the BT email address, I cannot log into the ser4ver and get this message:

>>> Send test e-mail message: Cannot send the message. Verify the e-mail address in your account properties. The server responded: 530 authentication required - Your email could not be sent. To fix this you must make a simple change to your email client (known as SMTP authentication)

I am now going to try and see what happens using the old Outlook profile where I have been finding similar problems.

Default Using the Old Outlook Profile

This what I am finding by going back to the old Outlook profile. The current status is, I have one email account for a GoogleMail account and I had one for BT which has now been deleted. There are two folders linked to two different pst files one for Googlemail linked to a Google Mail Account and another for BT Mail not linked to an email account because it has been deleted.

>>> If I send myself an email to the Google account, it comes from the BT internet address because it was once the default address even though the BT email address has been deleted. BTW, this should be impossible but it is happening. I cannot find a way of changing the default.

At least with this profile, I can get one of two email addresses to work but it is not ideal.
