I am the IT admin in our office. We have over 70 users on Outlook 2010. They each have their own .pst file that is kept on a network server (for backup reasons of course). Some of them create multiple .pst files, but most just have the one, that grows and grows and grows. I swear, it used to be just the attornies who never saw an email that was worth deleting, now everyone is of the mindset.
![]() Anyways, most of these users will create multiple folders in their .pst file for different subject matter. Some users have over 100 folders, crazy man. To manage the size of these pst's, I have users create a new pst file for each fiscal year. To me, this seems to be the best way of keeping these file sizes to manageable levels. The problem is, when they create a new pst file, they will then have to recreate all those subfolders they're used to seeing. Pain in the butt for sure! I tried a workaround by just making a copy of their current pst file and then calling it the new one and just have the user go through each folder and delete all the messages. But I quickly found out, that doesn't really save a whole lotta work on the user's part as well as the fact that even after compacting a now basically empty pst file, the filesize is still quite large. So with all this said, I am curious to hear others' thoughts on how to best approach this issue. I'm all for making this as easy as possible for the user, and don't really want to babysit each one of them every new fiscal year to get them set up. |

See here to Archive folders but "Set the “Archive items older than” field to a date so far in the past that you are certain no emails will get moved."
