Question Empty rules

I have te next mergefields in a document



Aan «Client_tenaamstelling»
«Client_PA_tenaamstelling»
«Client_PA_adres»
«Client_PA_postcode» «Client_PA_woonplaats»
«Client_PA_land»

Sometimes the field <<Client_PA_tenaamstelling>> is empty, but there is stil a empty rule. In that case i want this:
Aan «Client_tenaamstelling»
«Client_PA_adres»
«Client_PA_postcode» «Client_PA_woonplaats»
«Client_PA_land»

How do i do that

Hi rene,

First, select your «Client_PA_tenaamstelling» and press Shift-F9. You should see something like:

{Mergefield Client_PA_tenaamstelling}
Next, edit the {Mergefield Client_PA_tenaamstelling} field so that you end up with:

{Mergefield Client_PA_tenaamstelling \f "¶
"}
where the '¶' is a paragraph break or a line break, Then press F9 to update the field. The '\f' switch tells Word to put something after the field if it is not empty. In this case, we want to put a paragraph break or a line break only if the field is not empty.

Finally, delete the paragraph break or a line break between «Client_PA_tenaamstelling» and «Client_tenaamstelling», so that you end up with:
«Client_PA_tenaamstelling»«Client_tenaamstelling»
on one line.

Dear Paul,

Thank you for your answer. It works but now i'm getting the
«Client_tenaamstelling»«Client_PA_tenaamstelling»
on one line when both are filled

Hi rene,

Have you executed the merge? You should only see «Client_tenaamstelling»«Client_PA_tenaamstelling» in the mailmerge main document. After merging, these should be replaced in the output document by the data.

Hi rene,

I see what's wrong - you need to re-insert the paragraph break between «Client_PA_tenaamstelling» and «Client_tenaamstelling», and delete the one between «Client_tenaamstelling» and «Client_PA_adres»

If «Client_PA_tenaamstelling» has data, you should get:
«Client_tenaamstelling»
«Client_PA_tenaamstelling»
«Client_PA_adres»
«Client_PA_postcode» «Client_PA_woonplaats»
«Client_PA_land»

If «Client_PA_tenaamstelling» is empty, you should get:
«Client_tenaamstelling»

I think i don't get it right. Would you look in the attechment.

Hi rene,

The grey field shading in your document suggests it's from a preview of the merge. The field coding won't take effect until you execute (finish) the merge.

The gray shading is because i have defiend that mergefields must be marked. (via options, arcering field, always).

That may be so but, once you execute (finish) the merge, those fields won't be there in the outupt document - they will have been replaced by the records from your datasource. All you're doing now is previewing the merge. To execute (finish) the merge, you need to click on the 'Merge' (Word 97-2003) or 'Finish & Merge' (Word 2007+). Until you do that, you will never get beyond the preview stage.

In this database programm (GINO) i go to the functionality 'make sjablone'. There i choose the mergefields, than through GINO MS word wil execute; in MS Word i make text en place the mergefields. Than through GINO i save the sjablone.
Then the normal user recalls in GINO the sjablone, says 'fill' en then the sjablone fils en opens MS Word.
