Thank you for your guidance with this. I actually got it to work, what I did was use the ctrl9 to get my double brackets. I then typed IF and without spacing after IF, I inserted the merge field and completed my formula, then I would highlight the formula and then toggle to get the MERGEFIELD to appear. I still was receiving both names instead of replacing, so I did more research and followed this tip: I highlighted the inserted merged field as well as the name I did not want. I then book marked them, and went to format/font/hidden . . . worked perfectly. Names are still in the background but are not visible.

My biggest concern is that this template may be used by many individuals and when I open the template is not visible, even unhidden fields. Is there a way that the unhidden formula can be visible when opening the template so it does not accidently get deleted or is making it a read only the best option. . . only problem with this is I may not have all the names of individuals to specify who has and who does not have rights.

That is NOT how to do it. If your output was showing both the original output and the modified output, all that means is that you've left the original mergefield in the document alongside the one in the IF field. You should have replaced it with the field code as per the coding Graham and I posted.

If someone can advise of another issue regarding this process, that would be great. The template is in Times Roman 11 font, and all inserted field data comes from the same database, but I noticed when the mail merge is complete, some of the names brought in are in TR 12 font and some are in TR11. I also noticed that with some of the finished letters, there is an extra row, e.g.,

Should be:

Enclosure:
ABC: AB

What I'm getting but not on all letters:

Enclosure:

ABC: AB

Without seeing the actual document, it can be difficult for anyone to diagnose the issue. Can you attach a document to a post with some representative data (delete anything sensitive)? You do this via the paperclip symbol on the 'Go Advanced' tab at the bottom of this screen.
