Hi, I have a MailMerge document linked with an EXCEL spreadsheet. On the Merge document, there is a one-cell table set to hold the cover photo for each asset. In the table is the INCLUDEPICTURE command with the file path for each respective photograph.

Once I refresh the fields, the pictures are being inserted properly in the Merged documents. My issue is with the size of the image being pasted in the table. I had several inspectors helping me, all with different cameras, so the image size on all of these photos has the potential to be different. To address this, in the original ACCESS database, I set up a report with a macro to open each file in Microsoft Paint with the intention of resizing each image to a specified size (by number of pixels). Through trial and error, i found a number of pixels that seemed to work for my test image. I merged it and it looked great. I moved on to the next picture, resized it, and then re-ran the merge. The second picture, set to the same number of pixels in length/width, came in at about half the size of the first one.

Does anyone have an idea of what is happening, how to correct it, and/or if there is a better way of approaching this? I have several hundred reports to produce and a tight budget, so editing individual documents is not the route I want to go but I will if need to.

What you're experiencing is most likely caused by the metadata in the pictures containing information about the image resolution in dpi/ppi. If you're merging the data into a table cell of fixed dimensions, you shouldn't need to resize the pictures outside Word beforehand - the size of the merged pictures should be constrained to fit within the cell's dimensions.

Macropod, thanks for the reply. I hadn't considered the metadata but that is an interesting angle.

In theory, I agree that the constraint on the table cell should resolve the issue, but I've yet to actually have that work. I tried a mail merge with the untouched photos, and two photos with the exact same dimensions imported totally differently. Photo one was inserted in the cell and only took up 1/3 of the cell, and Photo 2 inserted into the cell larger than the cell itself and I could only view a portion of the original photos. Manually setting the picture size is the only approach that has consistently had the pictures insert into the table and fill the entire cell. If you have other thoughts, I would gladly entertain them. Thank you for getting back to me.

It works for me using the approach outlined under Managing Mailmerge Graphics in the Mailmerge Tips and Tricks Sticky thread at the top of this forum:

It even works for me with a basic INCLUDEPICTURE field using a MERGEFIELD for the image name.

Thanks for the link, good info here. I read the link and it's the exact same process I'm using. The only difference I can see after a quick reading is that I'm not verifying the merge field is actually an image. With what I'm doing, I know that every merge field is occupied and contains a picture, so the verification is unnecessary.

I'll dig more into it later but for now, business dictates that I keep pushing forward. Thanks for your help!
