Question Microsoft Word email merge displays fine when sent from my laptop but not from other PCs

Hello everyone!



I have a really odd issue, when i send a email merge from word on my laptop is sends exactly how is should and displays fine. I send the file to a colleague to send or send it from my home PC using the same method and the text overlaps the confines of the table I am using.

Any ideas what could this be? I have searched on the internet and i couldn't find anything that would help :-(

Also there is an issue with spacing when displaying the email on outlook.com where it adds spaces in everywhere, not just under images which is what you might expect from a html email.

If you have any ideas regarding this issue i will be much obliged!

Are the computers running different versions of Office? I created a mail merge in Office 2013 and saved the document to supposedly be compatible with Word 2007, but the mail merge didn't work at all in the older version of the program.

I would assume you have used a font that doesn't exist on the other machine. Try converting your document to use a standard font that exists on the other machine.

Hey Guessed,

Thanks for the reply!

I changed the font to the most standard font i know which is Times New Roman and I am still having the same issue :-(

Any other ideas?

It appears fine to me and you have used Calibri which is standard enough to be on the recipient machines.

The only thing I can suggest is to provide this document as a PDF rather than as a Word document. A PDF is a better format for the type of document you have posted because you don't want the recipient to edit the content and you want it to appear exactly as you intended it.

Sending a Word document through email is problematic because it requires the user to have a program capable of opening Word and is often opened in Safe Mode or in Screen Reading View which could be the cause of your issue.

I see you've uploaded a document to google drive. While we can see how the document looks on our systems, we can't see how it looks on yours, so the text overlap problem you're referring to may not be apparent to us. It would be helpful, therefore, if you could attach PDFs of the document produced by both your systems to a post here (PDFs preserve the page layout whereas documents don't). You do this via the paperclip symbol on the 'Go Advanced' tab at the bottom of this screen.

It would also be helpful if you could confirm whether both systems are using the same:
• Word version
• Operating system
• Printer and printer driver version.
That's because Word uses information from the active printers driver to finalise the document layout. That alone can cause documents to format differently on different PCs or even by just changing printers.

Sorry, I don't think i have explained myself very well, I am trying to send it as a mail merge for email. So instead of an attachment, its actually in the body of the email in HTML. That is where the issue lies when sending it using the email mail merge setting in word from any other computer apart from my laptop.

I am using Word 2013 and Outlook 2013. I am using Windows 10 as of a few days ago but I was using 8.1 before that. It seems like its fine from my laptop but not from anyone else's computer using the same method that I said above. I have a couple of printers but the one I use is the Sharp MX-2600N although I don't think this has a bearing on what I am trying to do. Below are some screen shots of the Issue that i am having when sent from this laptop and any other computers.

It would be easier to see precisely what's going on if your attachments had exactly the same content. Even so, some oddities are apparent. Does the document itself look the same when viewed on both PCs?
