fill in blank information
Hello:
I am going to try to explain this as much as possible as I can to make it sense. I have a form in word would like to merge the data from excel that I have created. In the data there are 3-different mailing addresses set in 3 different columns (mailing 1-plan type; mailing 2-address or attn.; mailing 3-address) then there is city, state, and zip have each it's own column as well. Mailing 3 column has few of the addresses are on this column because mailing 2 may have their attention name on it. When mailing 3 is pulled from the data to the form it is showing blank but what I wanted to do is pull/fill it in the next information which is the city, state, and zip. When the city, state, and zip are moved up to the mailing 3 line then the last line would be left blank. Can someone please help me. I hope this make sense. I have attached the form the way it is set up. |

Hello Macropod
Thank you for responding. I am still having problems. I am not sure what I am doing wrong. Here is the field code that I input {MERGEFIELD Mailing_Address_3 \f " "} is this correct? I am not sure what I did one time that somehow it came out the way it's suppose to. I did not have to edit or insert any field codes. All I did is clicked on one of the rules. As far as I know that's all I have done. Can you please help! Thanks |

How did you insert the field braces (i.e. {})? Have you executed the merge, or are you just previewing it?
PS: On looking at your mailmerge main document again, I see you have the mergefields in textboxes. You really shouldn't be doing that. Insert them directly into the document body.

I pressed shift+f9 to show the codes and I just added the \b or \f followed by " " with the line break inside the braces that was shown or given when pressed shift+f9. I preview the document before I do anything to make sure it comes out properly. I removed the textboxes and insert the merge fields directly in the document. Am I doing this incorrectly?

What you've described is correct. Having the mergefields in the textboxes would prevent the lines they occupy closing up.

I am still not getting the results as I would like to be. I am not sure what I am doing wrong. I followed the field codes in the mailmerge tips and tricks but it seems to be not working. I am sorry to be in pain. All I wanted to do is when mailing address 3 has no information then the city state and zip would enter this information in mailing address 3 line. Then city state and zip would be left blank since this information is already been pulled in mailing address 3 line.
