Default Mail Merge only sends to a select amount of recipients.

Hi All,

Please could somebody suggest any possible solutions for the mail merge issues that we have experienced?

Mail Merge does not seem to be sending - mail merge will only merge to a select amount of recipients via the HTML format. The Process I am using is mail merge from Word through Outlook 2010, but the data is kept within an Excel file format.
The emails are not queued in the outbox within Outlook, however Word says they are sending.
When trying to send in plain text, Word freezes and then needs to be closed therefore this is not a possible option. For example, with a batch of 30 emails only around 7 of the e-mails will send. There seems to be no pattern to this. I have tried a range of different solutions including a hotfix, setting changes and various other possible solutions, but none of them have resolved the issue.

Do the 'missing' emails appear in Outlooks Outbox or Sent Items folder?

Hi Paul,

The E-mail messages do not appear in either the Outbox or the Sent items folders.

Kind Regards,

Luke

In that case, the problem is most likely with your data source, since the missing emails are apparently not getting to Outlook.

Hi Paul,

The E-mails that were sent successfully appear in the Sent items folder in Outlook, but the others do not seem to appear or send to the recipients.

Solving the problem will require you to do some diagnosis. For example, with the emails that get sent, are they to people in your address book? What about the ones not being sent? Check the addresses. Can you ordinarily send emails to those addresses if you simply copy & paste them into Outlook with absolutely no changes? Is there any difference between the email addresses the messages are being sent to compared to the ones not being sent? What about the message bodies - do they differ? Etc.

Have you checked that the missing records haven't been filtered out? Make sure all records are selected under See Mailings>Edit Recipients List and that, under See Mailings>Edit Recipients List>Filter, no filtering is applied.

Thank you for the suggestions Paul, the websites instructions were followed and this still hasn't resolved the mail merge issue. Do you know of any other suggestions?

Not without seeing some of the affected data and your mailmerge main document. Without actually seeing these, it's difficult for anyone to diagnose the issue. Can you attach the mailmerge main document and some representative data that gets sent/skipped to a post (delete anything sensitive)? You do this via the paperclip symbol on the 'Go Advanced' tab at the bottom of this screen.
