Mail Merge
Hi,
I was doing mail merge to print labels.(Excel Sheet used). In the template i added <Name> <Address> <City> <Zip> etc. in each separate row. Now there is one special field called POST (Director,Principal etc) which is not common in every record . So how do i make it look in order if the next record does not contain post. <Name>ABCCCCCCC <Post>Director <Add>xxxxxxxxxxxxxxx <City>xxxxxxx <Zip>xxxxxxxx now when there is no post present my next label leaves a blank line.How do i make it look without gaps,if few fields are not present in some records...(like this) ABCCCCC xxxxxxx xxxxxxx xxxxxxxx (4lines instead of 5 no line between) sorry for lengthy post.. regards |

Hi inwell,
That's fairly easy: • Delete the paragraph/line break before your «Post» field • Select your «Post» field and press Shift-F9. You should see { MERGEFIELD Post } • Change { MERGEFIELD Post } to { MERGEFIELD Post \b "¶ "} where the ¶ is an actual paragraph/line break. • Press F9 to update the field • Run your merge.

hello,
how do i add that actual line break in the brackets? i m not getting that...will please tell me how? and why my first label is always blank? (i tried both options while importing data..(my first row is headers once selected once not) ref img1-2 |

You would find it easier to see what you're working with if you clicked on the ¶ symbol on the Home tab to display the document's non-printing content. If your first label is always blank, that's probably because your first data record is empty.

I can see the \b in your field, but not the rest of the construction:
{ MERGEFIELD Post \b "¶ "} I can also see that you haven't deleted the paragraph break before the field.

hi,
I inserted the paragraph symbol from insert symbol on ribbon. but how do i remove/delete the paragraph symbol before POST field? if i delete that ,my POST field moves up to the first line near <NAME> field? any special way to remove that mark...? i have marked the paragraph mark that you think i need to remove..please check if thats what you mean? and how do i do that ? |

You still do not have a paragraph break within the field - it looks like all you've done is to put the ¶ symbol there. Furthermore, you've how omitted the \b switch! And yes, the paragraph break you have highlighted should be deleted (or you could drag it into the field where you have the ¶ symbol).
Why are you making this so hard?
