Default Easy mail merge but want to suppress rows

I'm new to mail merge. I know how how to pull in the field to be merged. I'm not doing a letter-style but more of a data table style, basically to show staff the value of benefits they've had. So, imagine a table like this:



Name ....
Mobile phone (hard-typed) <£x> (mail merge field)
Health care <£y> etc

The above would be presented as a table in word with 2 columns and x rows

I know how to pull in £x and £y data but I want rows to be excluded if an employee doesn't have that particular benefit. How do I do that?

Hi Claire,

You can't do that with a table, but you can do it using a tabular text layout, using the mailmerge \b and/or \f switch. See: http://office.microsoft.com/en-us/wo...005186172.aspx

Thanks. I did try the \f but it didn't work as I had hoped. My template simply continued to state all the possible benefits (as I had typed them in) and just left blanks in the value fields. Looked like gappy teeth

You would probably have to use both switches, with the benefit names attached to the \b switch, thus:
{MERGEFIELD Mobile \b "Mobile phone £" \f "¶
"}
where the ¶ is an actual paragraph break.

Hmmm, I'm clearly not very good at this because this does nothing. I think I shall consider myself beaten on this one - probably not good use of a CFO's time anyway!

Did you delete the "Mobile phone £" text from before the mergefield? Also, are you sure there's no output from the mergefield when there is no mobile phone (eg no space character)?
