Hyperlink in MailMerge
Good morning all,
I posted this question at Mr. Excel as well since I am getting the link from Excel. I am creating a Template to use with mail merge and need to add a hyperlink to the template. Currently I get the link from Excel and add it to the Template, that works like a charm....what I have an issue with is that the link is very long and VERY ugly so I want to display something like 'Click Here' rather than the actual link. How do I change the display text in my template? (the link for each email is different and there could be over 200 e-mails at a time). Thanks in advance for your help. |

Just curious, is there a way in the mailmerge to do something like this?

Hi Sam,
What you could do is to insert a Hyperlink into the Word document in the normal way and set the display text to whatever you want. Having done that, select the Hyperlink and press Shift-F9 to expose the field code. It'll look something like: {HYPERLINK "C:\\Users\\Sam\\Documents\\Sourcefile.doc"} You can then delete the 'C:\\Users\\Sam\\Documents\\Sourcefile.doc' and replace it with your mergefield, thus: {HYPERLINK "«H_Link_Path»"} where 'H_Link_Path' is your mergefield's name.

I followed the above example and it works, but what if you have a unique URL for each recipient and you want to mask it with text such as CLICK HERE? I've been having issues with this and MS Support hasn't been helpful. I'm hoping you can be.

That's what the example provides for - a common 'click here' prompt and a unique URL.
You cannot have a tailored 'click here' prompt for each recipient in a mailmerge hyperlink field. However, if you're happy to have the url itself as the tailored 'click here' prompt for each recipient, simply merge it as ordinary text and, when the mailmerge has executed, let Word apply autoformatting to the document.

Thanks for the quick reply, but I can't have the URL itself be clickable as it's for a quote generator and is over 200 characters due to the amount of variables being passed through the system. The email will end up being over 1000 pixels wide. Not good.
I did finally get a hold of a Senior Engineer at MicroSoft and the version their workin on is going to have this functionality, but as of yet it's not available. Why must MS make things so difficult? Oie! Anyway, thanks for the help. |

Well, if you want the 'click here' instead of individual URLs, I've already described how to do that.

I'm trying to do this in Office 2010 and hitting SHift-F9 does nothing for me. I also can't see it if I toggle field codes (doing a mail merge), though I am not sure if this is related. What am I missing?

It's really hard to answer that without knowing rather more than what you've said so far. Perhaps you could describe the process you've gone through to create the hyperlink.
