Default Mailing labels

Two problems, merging address list from Excel -



1. Word is not picking up all the addresses, even though there's a check mark in each of the Mail Merge Recipient boxes. Seems to pick up only one page of the addresses.

2. How do I center the labels vertically? Tried Table Properties > Cell > Vertical Alignment > Center, but that doesn't seem to work.

Hi Steve,

Re 1: Did you click 'Finish & Merge'?

Re 2: Amongst other things, cell vertical alignment takes account of whatever berfore/after paragraph spacing has been set for the cell's contents. For true centring, you should make sure it's set to 0 for the 'before' spacing of the first paragraph in each cell and, correspondingly, for the 'after' spacing of the last paragraph.

Thanks macro. I did click on step 6 (Complete the Merge), but that didn't seem to change anything onscreen. If I go back to step 5 (Preview) and click multiple times on >>, eventually I get to the last record. The screen then shows the last part of the records (and doesn't change at step 6). There's still only one page. Ctrl-PgUp or Ctrl-PgDn doesn't do anything.

I'm afraid you lost me on the vertical alignment question, looks like it's pretty complicated?

Hi Steve,

If you complete the merge, you have the option of sending the output to a new document. If you choose that, a new document will be created. From what you've described, it should have a page of labels for each recipient.

As for the cell alignment, it's pretty simple, really.

There are 67 records in the Excel worksheet (67 different names and addresses). After completing the merge, only the first 30 records appear in the resulting document. Since there are 30 labels per page, that would seem to indicate one more full page and a partial page somewhere - but I sure can't find it.

Dunno about cell alignment, seems to me that if it was actually simple, then the obvious approach would work: Table Properties > Cell > Vertical Alignment > Center. But for some reason that doesn't work.

Hi Steve,

If you're only seeing one page of labels, and pressing Ctrl-end doesn't take you to the 2nd page, that really doesn't sound like you've executed the merge. What happens if, after merging, you press Alt-F9, or Ctrl-F6?

Alt-F9 changes recipients to code. Ctrl-F6 doesn't seem to do anything.

In that case, you haven't completed the merge. If you were viewing the mailmerge output document, there'd be no fields to view via Alt-F9 - only the text for the records they referred to; and Ctrl-F6 would switch between the mailmerge output document and the mailmerge main document.

I agree, seems like the merge was never completed. Here's the process I went through, using the Step by Step Mail Merge Wizard -

> Labels > Select Starting Doc > Change Document Layout > Label Options

> Select Recipients > Use Existing List > Browse > MailingList.xlsx

> Select Table > Addresses > Mail Merge Recipients (all boxes checked)

> OK > Screen shows <<Next Record>> for each record (this is where the problem starts, I think - there's only one page of these <<Next Record>> items)

> Arrange Labels > Address Block > Match Fields > Replicate Labels > Update All Labels

> Preview Labels > Complete Merge

Now here's the strange part - if I go back to the Preview Labels screen and click repeatedly on >>, eventually it will show the rest of the records. So it looks like all the records are there, just not appearing onscreen or in the printouts.

Hi Steve,

After clicking on 'Complete Merge', Word should give you the option to send the merge to the printer, or to a new document. Since you're apparently not getting that, it seems there may be something faulty in your Word installation. I'd suggest repairing Office via Word Options > Resources > Diagnose. Ran the diagnostics, no errors found. Tried merge again, same result. Sigh.

Hi Steve,

On the assumption it is a Word problem, try the approaches suggested here:

http://word.mvps.org/FAQs/AppErrors/...artingWord.htm
for various series of troubleshooting steps that will help you track down (and hopefully solve) the problem. Deleting Word's registry key is often quite effective.
