Merge Doc skips records
I have approximately 150 records in MS Excel that I am attempting to merge to labels in MS Word.
All fields agree. When I scroll through one record at a time, they all appear. However, when I run the merge records are skipped. One one merge it skipped every other record. On another it skipped some at what seemed a random pattern. I have resaved each document to make sure they were all either MS 2010 or MS 2003 across both excel and word. I tried every reconfiguration I could think of and it still doesn't work. Unfortunately it ended up me not having material for some meeting attendees. . . . Does anyone have any suggestions? Thanks. Hi Eileen,
What sort of merge (letter, label, catalog/directory)? If it's a letter or catalog/directory merge, you shouldn't have 'Next Record' fields.

Yes, one of them was a directory merge and that is one that skipped every other one. But if I didn't put a next record it seemed not to put anything in?
The other was a merge to labels, or name tags rather, and it skipped here and there all the way through. I haven't gone back and really looked at it, just realized when I was putting everything out that names had been skipped - that were in my excel sheet. Thanks. |

Hi Eileen,
Check that there are no double quotes in any of the data fields in your source file.

Can you attach a copy of your problem mailmerge main document and a cut-down copy of your mailmerge data source to a post? If so, I'll take a look at them for you.

I am attaching a copy of the excel doc and the merge doc. I ran it just now again. The one I particularly remember was Jamie from Kleins did not get a welcome label. . .and then found that others didn't either -- and that is how I realized the merge didn't work correctly.

Delete the last 'Next Record' field and everything should be OK.

Omitting next record on merge
If I omit the next record it gives me a whole page of labels for each record. I thought you had to have <next record> in order to move from one line to another in excel.

OK - got it -- I skimmed right over "last". I figured it had to be something fairly simple. . . .
You said something about not using next record if I do a directory -- won't the same thing happen? Thanks. |
