I have a footer in a document which needs to be consistent across all pages of the document, except that it needs to show a logo on the last page.

I had tried using a conditional field code, but that didn't work consistently. If I updated the fields, it showed, but it wasn't visible when the document was opened, and the client needs this to always be visible.

I had to put a section break on the page before, but I don't like doing it this way. If the document gets edited, the section break could end up on the last page (or get deleted with the text) which would remove the logo from the last page; or if text is added after the section break, the logo could show up on more than just the last page.

Is there a way to do the conditional field code to show the logo properly? Or is there another way to do this that will be more reliable? I could anchor the logo with the body text, but that could also get deleted if the text is edited that contains the anchor.

{IF {PAGE} = {NUMPAGES} "Your last page content here" "other footer here" }
This is the only method.
Note that information in a header or footer will never appear full-strength when a document is viewed in print view on a computer. This is by design.

Simply insert a field into the footer, coded as:
{IF{PAGE}= {NUMPAGES} "Your logo goes here"}

You could position your logo as a floating graphic on the last page positioning it relative to the page. This is in the body, not in the footer and it is easily overtyped or deleted. It would also be easy to type content after it, possibly creating a new page without the logo.

Thanks for the responses.

That's what I'm using in my field code, but the logo isn't always visible. Not sure why?


When I open the document, it looks like this:


If I open the footer or update the field, then it looks like this:

And the floating graphic is pretty much the only other option I had come up with, the anchor on the last page, but your comments are exactly why I don't want to use that option either.

As depicted in the field code representations Charles and I posted, you need to have a space after the NUMPAGES field and to enclose your logo in double quotes.

Thanks, I can't remember if I had tried this before (I believe I did in the original file, I can't send that because it contains confidential material), but making those changes have no effect at all. I get the same results.

Go to File|Options|Display>Printing Options and ensure 'Print background colors and images' is checked.

Go to File|Options|Advanced>Show document content and ensure 'Show background colours and images in Print Layout view' is checked.

Thanks, I’ll check that tomorrow, but even if that fixes the issue, I won’t have that level of control of the end users system, so unless there’s something else that can be done to reliably assure the logo will always be visible, I may have to abandon the field code method, and stick with one of the other “hacks”. This is for a pharmaceutical company, and their legality approval processes are extremely strict, and their logo disappearing (even though it would print properly) would be a huge issue.

So liaise with the IT people there to ensure everyone's PC is properly configured. This can by done by setting the appropriate group policies.

It’s not that simple. They are not the end user. We are creating the document for them, but they will be dispersing it to others. That solution will not make it through their legal department.

Any approach other than field coding is liable to be way more problematic than the field coding one.

Try the attached implementation. In this case, the logo is wrapped and only its anchor is between the double-quotes. Note too how the logo's positioning is defined. Formatting the image this way obviates the need for the settings referred to in post #8.

Thanks, I’ll check that in the morning. I agree that any other solution than the conditional field coding would be less than ideal, but it wouldn’t be the first time I had to accept a compromise. All things considered, this is probably one of the easier problems I’ve had to deal with. The document won’t change once it’s sent to the document, but it would have to survive constant changes, revisions, and quarterly updates, and I’m not always the one making the changes internally, so me of my coworkers could mess it up if they are given the changes. I’m the only one in the office who would have known to do use a conditional field code for this.

I should also point out that, given the range of configuration options Word users have, there can never be any guarantee your logo will either appear on screen, whichever approach you take. For example, a user might go to File|Options|Advanced>Show document content and uncheck the 'show drawings and textboxes on screen' option, which would defeat whatever approach you take.

At some stage, the end-user has to take some responsibility for they way they handle your document. All you can do is advise them on how Word should be configured to behave 'normally'.

That one seems to be working much better, it is invisible for a split second when I get to the last page, but does show up almost instantaneously. Works on both my PC and Mac.

I'll run it through some tests on a couple more systems, but this might solve my issue.
