Default Problems pasting rows between two documents

I have two large tables in separate documents that I am trying to merge in alphabetical order. But when I try to copy and paste between the two I cannot get the right format.

I normally highlight a row, copy, then right click in the new document and select insert rows. But those normal options is not appearing - I only get three options, one of which is plain text. The best option inserts the row but the cells are out out of line with the ones above and below.

I can copy and paste within the first document no problem. And my colleagues can do this, no problem.

Any ideas? Thanks in advance.
