Default Making my outlook more productive

Hi guys,

before I start I'm not the most proficient user of Outlook but I'm trying to make my work load more efficient.

Here's my daily routine, any ideas to help my work flow would be greatly appreciated

So I use tasks, edit and add multiple calendars, and email (My own email, 2 shared emails with 3-4 users all with there own calendars.)

my current system is as follows

I receive an email requesting my staff for a task.
I then send the task request to the relevant person.
I flag this in my inbox to say I've sent a task.
If they accept I then reply to the original email to confirm then move the original email to an assigned tasks folder in my mail.
Then enter a calendar event into the relevant persons Calender.
I also invite myself to their Calender event so I can keep track of peoples movements.

Some of the task requests can be simple office tasks but some are offsite tasks. The simple office tasks are currently not needed to be entered into calendars but the offsite tasks are. This could possibly change.


In total I viewing/editing/monitoring 10-12 calenders.

Is there any macros or systems that can automate this process or make it simpler. I' also going away from this role for some time and will be handing it over to someone else, who will use there own email so the process/macro needs to be transferrable.
