Since the question specifies "within your workplace", it's not something anyone here could possibly answer without knowing all the relevant information about your workplace. That said, it seems a rather strange question to be asked for an assignment and the answer to such a question is not something I'd be proffering in a hurry - it's the kind of question someone might ask for nefarious purposes.

Graham has provided you with some common file extensions, but whether that is what the question means by "file structure" is unclear. Since the reference is to "the saving of important company files" it might instead be a reference to servers and folder structures and/or the file structures used for backups. That is something any company might be leery about sharing for security reasons.

Perhaps you should clarify the question.
