Default Template: group dropdown selections

Hi, I want to create a template for Word 2010. The user selects his/ her own name/ email etc. and I want to let the user select his name only once and have the rest (emal for instance, at another part of the document) be selected automatically.
How can this be done? I noticed the Group- option in the developer ribbon, but frankly don't know how to use it and couldn't find any further description of it's functionalities.
Is it even possible to do what I described?
