Default Syncing inboxs within an office

Folks,
I've done a search (sync inbox) and have read the first 5 pages here & couldnt get any help:

I work in a small offfice in the outback of Australia, we want to sync an email between 3 computers so that if it is read by one person it shows up as read. (I also want to be able to show category modifications and whether it is flagged or not...).
We are running off a basic server for file storage - how can I sync between emails to show this information?

Any help would be greatly appreciated (its quite difficult to get IT help 400km from the nearest big town!!)
