OfficeDummy81 is on a distinguished road
Default Room reservation

Hi Everyone!

My problem only refers to Use Case 1, Use Case 2 is only to distinguish and provide clarity for Use Case 1. Use Case 1 is the one which is relevant at our company 99% of the time.

Use Case 1:
Find an available room:
Pre-condition: Because of deadlines and the necessity that many key project members and stakeholders need to attend a specific meeting/workshop, the availability of those resources is key and the meeting has to happen on a specific day. --> The meeting is entered into outlook, with prepared material, agenda, date, time, etc., now

I want to:
1: Click on any available room to add it; (I cannot see which one of the 30 rooms in the building is available.)

2: Click send.

How can I do this? Most online guides tell me, to go to the calendar and add all rooms to my calendar and manually scroll through them until I find an empty one. Why cannot Outlook show me only the available rooms e.g. in the Room Finder?

Use Case 2 (rarely applied in our company): Check availability of a specific room. Have a meeting in a specific room (time, date, participants are quite flexible).

only useable for "low priority meetings/workshop" or necessary for a training of huge groups, where we need to reserve the biggest room in the building.

Please help,
