Look into using AutoText and training your users to use it.

  1. Select what you want to repeat.
  2. Press Alt+F3.
  3. Assign a name and save your AutoText in your template.
    Suggested name: MtgItem
    Put in a description before typing if you wish.
    You are using a template, not a document, right?
    If not, you need to be.
    Templates in Microsoft Word
  4. You can now insert this by typing mtgi and pressing F3 or Enter.
This will work in any document created from your template so long as the document is attached.
