Default Master and sub documents

Hi

I'm creating a Master and sub documents for our company's annual report and have the following questions:

The master and sub documents will be held by the Exec Team. Sub documents will need to be completed by people with access to different drives within our network.

How will this work? Do we email them out or will that break the link to the master document?
