Default SOS - cannot update table of content properly

Hi,

I have an urgent issue to solve and would appreciate it if someone could help.

I need to edit an existing Word file (*.doc) with Word 2007. This file has three tables: Table of Contents, List of Tables and List of Figures. The Table of Contents does not include page numbers of figures or tables. This is what we need.

After right-clicking the Table of Contents, I select "Update Fields" from the pop-up menu. Then two issues occur:

(1) After select "Update Fields", the update process starts without showing the "Update Table of Contents" dialog box. Usually we should see the "Update Table of Contents" dialog box at this time. This dialog box contains two options, "Update page numbers only" and "Update entire table".

(2) After the update process completes, the page numbers of figures and tables are inserted in the Table of Contents. This is not what I want. I want the page numbers of figures and tables stay in List of Figures and List of Tables.

Could someone please tell me how to fix it?

Thanks,
Lee

Hi Lee,

You might not be seeing the TOC dialogue box because Word recognises that it needs serious updating (ie to incorporate the List of Tables and List of Figures). This is normal.

If you don't want the List of Tables and List of Figures included in the TOC, you'll need to add switches to the TOC field to tell it which particular Heading levels to include. For example, to limit the TOC to Heading Levels 1-3, you'd code the TOC field as {TOC \l 1-3}.

You can toggle Word's field code display on/off for editing via Alt-F9.

The issue with TOC has been fixed. List of Tables and List of Figures won't be inserted in TOC anymore after run "Update Fields", which is what I need. However, I found another related issue. Hope someone could help.

After we select "Document Map" check box under View menu, the document map will be diplayed on left panel. In the left (document map) panel, figures and tables still show up in the document map list with chapters/sections. It looks like:
Code:
4 Animals
   4.1 Dogs
Figure 4-1 dogs
   4.2 Pupies
      4.2.1 Dog food
Figure 4-2 Some food
      4.2.2 Pupies food

Table 6 Food types
      4.2.3 Nutrition
My question is how we can let figures and tables not show up in the document map list? I don't need figures and tables to show up in the left "document map" panel at all if that's possible.

Thanks,
Lee
