Angry Word 2019 Messed Up All My Footnotes.

I recently upgraded from Office 2007 to Office 2019. When I brought up a document in Word 2019 that is full of footnotes, they were all changed, without action on my part, from single-spaced with one blank line between notes to double-spaced. Also, Word 2019 added a big blank area between the separator line and the first note on the page. Plus there's a very large space between the last note and the bottom of the page, way more than a 1" margin.


I tried to modify the "footnote" style but I was unable to change anything that made a difference. In fact, I found an Endnote style but not a footnote style. So
1. What can I do to undo the double-spacing of footnotes?
2. Remove the blank line between the footnote separator line and the first footnote?
3. Shrink the space after the last footnote on a page? This was bad in Word 2007. Now it's worse.



My experience here is consistent. Each time I upgrade to a new version of Office, things get harder to do and things get messed up. I wish they'd stop doing new versions. They aren't getting any better or making life easier.

From your description, I would guess that the document is set to update the styles when opening. This would be a problem since you now have a new template where the style definitions may be different.

If you post a sample document, someone can have a look to see what settings might be causing your issue.

Your problems have nothing to do with the upgrade as such. Rather, they're caused by your document having the 'automatically update document Styles' option checked and the use of a new 'Normal.dotm' template for the documents instead of your old one. You really shouldn't have the 'automatically update document Styles' option checked for a document using the Normal.dotm' template; either don't use that option or use a different template.

First, I clicked on Help to find out how to change the automatic update. I saw no way to type in a question. That was really helpful. I didn't find it by clicking on the styles down arrow.
This is very weird. Some paragraphs that should be double are single. It seems random. Footnoes that should be single are mostly double and have huge spaces betwen them. That's all wrong. There should be one blank line. I tried to change the footnote text style. I tried to make it based on Endnote Text instead of Normal, as that is wrong. Nothing I did helped.I am attaching a small chunk of my paper. That's the last time I upgrade MS Office. The programmers should never have let this happen. I was a programmer a lot of years and I am wondering what, if any, testing was done of this feature..

I am attaching a small excerpt that shows these problems, as well as the big gap between the separator line and the first note on any page. Thanks for any advice. I am not an expert in this area (if only it was in Java, I could fix it. So I would appreciate a detailed explanation. I've already done a web search. I did find a page on how to fix the separator line but it did not say how to adjust the space between it and the footnotes. I'm not sure why attachments can't be in.rtf format. That would eliminate a lot of nasty macros I could insert.

You change the setting (which is by document) for updating styles in the Templates and Addins dialog. The simplest way to get to that is on the Developer Tab. Click on either the Word Add-Ins button or the Document Template button. The checkbox should be unchecked before it is opened on a new computer. I.e., unchecked by the originator of the document.


What happens when I send my document to someone else? Will Word mess up my formatting?

The automatic update setting you're interested in is found under Developer|Document Template>Template>Automatically update document styles. That said, the document attached to your post doesn't have that option checked.

The fundamental problems with your footnotes are three-fold:
1. Someone has overridden the line spacing on some in which the 'Footnote Text' Style is correctly applied with double spacing;
2. Your footnotes have empty paragraphs between them; and
3. Someone has replaced the 'Footnote Text' Style for some footnotes with the 'Normal' Style - which has single spacing applied.

Your document's last paragraph is even formatted in a user-defined Style named 'footnote tex'!


You really do need to learn how to use Styles properly, as they are at the heart of how Word works. See:

To fix your footnotes, click on any of them, then press Ctrl-A, which will select all footnotes. Then apply the 'Footnote Text' Style to all footnotes and set the paragraph line spacing to Single. Next, go through all the footnotes and delete any paragraphs separating them (you'll need to select the second-last paragraph break in each footnote, not the last one).

Question Styles

Thanks for the suggestions. I've gotten part way through the long explanation of styles. I have two follow-up questions.
1. Somehow, I've made Word not show the style boxes or drop-down arrow anymore. I can't see a way to get it back in the options. How do I get it back?
2. You say I should update footnotes with Footnote Text. Now that I've changed things some, what should the values for Footnote text be? What do I link it with? I tried Endnote text but that didn't help. When I could see the drop-down for styles, I saw Endnote Text but did not see Footnote Text anywhere in the long list. Where might I find this?

Re:
1. Check you Ribbon customisations (File|Cutomize Ribbon).
2. Footnote Text is a built-in Style name. As such it will be in the list of available Styles. Whether/when you'll see is depends on the Style display options you're using. With the Styles dropdown displayed, click on Options and change the 'Select Style to show' setting to 'All Styles'.

Your profile indicates you are using Office 2007. If that is true, you do not have a customize the ribbon option. You do have Customize the QAT.

Try starting Word in Safe mode. That should get you the Quick Styles back.

Open Office apps in safe mode on a Windows PC - Microsoft Office


Otherwise, you can put the attached template into your Word Startup Folder and it will give you icons in your QAT to launch the Styles Pane and to organize styles. It adds the following to your QAT.


Those will give you the Quick Styles Gallery, the classic Styles drop down, and a launcher for the Styles Pane. It can also be downloaded from my site: Styles QAT Add-In

Launch the Styles Pane and then click on Option (bottom right). Tell Word you want to see all styles in alphabetical order.




If you can't find Footnote text, click on the Manage Styles button (third one on bottom) and tell Word you want to be able to see that style. Click on the Show button.
