How to update Exhibits and related cross-references numbers automatically?
I have a word document which has 5 Exhibits and related cross-references in different paragraphs. I want to copy entire content to another word document at the end, which already has 10 Exhibits.
After pasting the content from first document, i have selected entire text and pressed Alt F9 to update the fields. Exhibit numbers got updated and came in sequence i.e. Exhibit 11, Exhibit 12, and so on... but reference numbers remained same (i.e. Exhibit 1, Exhibit 2, so on..) and it automatically got linked to the above Exhibit 1 which was already there in the document. Is there a way that after pasting the Exhibits and related cross-references from one file to another comes in a proper numbering sequence. I am able to get the Exhibit sequence numbers properly (e.g. Exhibit 11, Exhibit 12..) after updating the field but cross-references are not getting updated and showing same numbers (i.e. Exhibit 1, Exhibit 2,... in the paragraph text) ideally it should show Exhibit 11, Exhibit 12... since it was linked to those exhibits. Please help. |

Were the cross-references created via Word's cross-reference dialog box? If not, they are probably just typed, as plain text, and you won't be able to update them.

Hi Stefan,
Thank you for your response, all the cross-references created via proper cross-reference method only. I am attaching examples files for reference (File 1, File 2 & Combined file). Kindly please have a look and let us know if it is possible to have cross-reference numbers gets updated automatically as per the blue call-out boxes which i have kept in the combined version file. Cross-references always point to a particular location, defined by a hidden bookmark. Looking at an example in your file, I can tell that the hidden bookmark is called "_Ref528234056." That bookmark points to an item numbered "Exhibit 1."
Things may happen when you combine two separate files that both contain bookmarks. Typically, problems occur if bookmarks have the same name in two different files and those files are combined into one.

The other thing is that cross-reference, and most fields in the body of a document do not update automatically. They can be updated but that must be triggered.
Generally, going into print preview will update fields. Otherwise macros can be helpful. |
