Default Restrict changing of document default settings

Hi



Is there a way to ensure that default document settings cannot be changed (Design > Paragraph spacing or Manage Styles > Defaults). I've ensured that none of my styles are based on Normal but paragraph spacing for Body Text styles (and some others) can still be changed via these settings.

In my documents, I need to ensure that the end user sticks to the intended spacing and font settings (albeit they can use direct formatting, if a style does not exist - I've covered the majority of bases in my styles, but you can bet there will be one that i've missed somewhere!).

I can't find the setting for looking. Am I missing something?

Have you applied editing restrictions via Developer|Restrict Editing>Formatting restrictions? You can use that to limit formatting to a predefined set of Styles.

Also, if you haven't already done it, you could go to Developer|Document Template>Templates and check the 'automatically update document Styles' option. Whenever the document is reopened, that will revert any Style changes a miscreant might make to the definitions found in the document's template.

Thank you for coming back to me Macropod.

I had looked at the formatting restrictions on the Review tab and in the Manage Styles options. Neither of these restricted (greyed out) the use of the 'Paragraph Spacing' button on the Design tab. I wanted to make sure that an inquisitive end user didn't change the document defaults, which could impact other styles (although I've set the important ones to 'no style' and set their line/paragraph spacing', so it shouldn't).

The only way i could think to do it is to remove the button from the Ribbon.

If you want to restrict users to your preferred Style set, you will need to apply the editing restrictions and, as I said, you can check the 'automatically update document Styles' option to force a document to revert to the Style definitions in the document's template. You could go even further, with - for example - a macro that removes any direct formatting when a document is opened.

Thank you Macropod, I will do some more testing with that option out. Generally, the templates (i'm building 150 templates) will be sent outside of the organisation, to be typed up and then come back in-house to be finalised before PDF'ing and sending out. Therefore, the connection to the template will be lost.

The reason I asked about restricting the document defaults was that I was given an example document, which had changing of theme/colours/fonts restricted, plus when I clicked on the 'Paragraph Spacing' button, the only option was 'Custom Paragraph Spacing'. That gave me the idea. Although, I now realise that even if this feature was turned off in that place, there is nothing stopping the user from changing it in the Home > Paragraph options. It therefore it is pointless trying to restrict it. Sorry for wasting your time - too many different places to change the same thing and I forget where they all are! As i'm coming across things, I've more ideas coming to mind on how to handle all these templates and make sure styles are kept up to date, whilst making it as easy as possible on the end user.
