Hello everyone,

Iīm completing a draft of my master thesis and Iīve run into big problems (at least for me) with the formatting of the document.

Iīve tried Googling it for the better half of the day, but no luck on my end, so I sincerely hope someone here can be of assistance.

I suspect something might have happened a week ago when I found myself unable to save the document and the save screen were simply looping all over again. I went to a computer store where they helped me by saving it as PDF and then converting it back to a docx document. It seemed okay for the time being, but as I move on to numbering and other formatting, things are just messed up now.

Current issues summarized:

1. Numbering of pages is inconsistent. Itīs correct on some pages, but missing on others. Iīve tried removing the numbering and renumbering, but not able to do so...

2. Page break is messed up on some pages. The text continues all the way down to the bottom of the page...

3. In some parts of the document Iīm getting a large blank space where I obviously want text. But I canīt move the text up for some reason.



Thatīs basically it, I think. I tried Open & Repair also and resaving it in other formats, but no luck. My non computer brain is having a shutdown at the moment, so I would be so happy if someone could give me any pointers on this.

PS: Iīm using a Mac and Office 2016 for Mac.

If the document has been saved as a PDF and then converted back to word you will have lost all of the formatting before being saved as a PDF.

Any formatting you are currently seeing is words interpretation of the saved pdf.

You are probably best redoing all the formatting in the document.

Sorry to be the bearer of bad news.

If you have a saved version of your thesis in Word format it may be possible to help retrieve the situation but it's likely you'd need to send the document to a volunteer for examination.

Unfortunately, I agree with slaycock.


It has been my experience dealing with documents imported from any other format (20 years +) is best dealt with as plain text with all formatting being applied to that text using styles. Use your pdf as a resource.



This is going to be especially painful with cross-references and footnotes, I know.

You may want to try, with a copy, using the AutoFormat command.


This is a legacy tool not available on the Ribbon and may not be available under the Tools or Format menu. In the Windows version, I need to add the command to the QAT to use it.

Thank you for the replies. Sadly, that was what I feared would be the outcome.

To be clear:

Can I simply use CTRL + A and paste the entire document into a new document without formatting and then format it again page by page?

PS: Sadly, I couldnīt find the AutoFormat function/formula.

Are you sure you don't have a version saved from before you started having problems. Recovering that version and then updating by copying from the pdf may be less painful.

Yes, that is the method. However updating a previous version might be easier. Only you can say.

Not having a Mac anymore, I can't give exact directions. I'm assuming you do have the ability to modify the QAT. If not, you are out of luck.


If you can modify the QAT, in the Windows version, I find the command in the category of Commands Not In the Ribbon.

Round tripping your document from Word to PDF and back to Word is rarely a good idea.
The document you provided is obviously the result of that.

Is it possible to provide the original Word version that you were having problems with? There are better ways to remove corruption from the file than going to PDF. SaveAs RTF or DOC for instance. Failing that, we can track down the exact problem but we need to source document.

If you have subsequently made a heap of changes to the ex-PDF version then we might need to clean that up but it would be a lot easier to just remove the corruption from a Word doc.
