Question Help, Fill in the blank type form letter

Ok I am new to this kind of thing and really do not know the proper terminology to use.. Although I have used MS word for years, I have never tried anything like this, or did any fancy stuff.. mostly simple 1 of a kind letters to family and such.

But now I need to learn something so I can make things easier.

I have a series of 5 letters that I send out as needed. Each one is slightly different but some of the data stays the same for all 5 letters.

What I am trying to do, I think, is what is called a form letter that contains FIELDS, where I type in information and that information is then copied to all the fields of the same name.

For example lets say the names of the fields are: [company] [address] [item] [chart1] [chart2]

So I open up the word file with the series of letters. Lets say i am sending this to John Hancock. In the [company] field, I type in John Hancock. Then in all 5 letters where the [company] field is, it would now read John Hancock

Do ya understand what I am trying to do? Then I can print out the pages of the letter than I need to use, and the others would be ready for when I needed to print and send them out.

MMM.. I looked at that.. and yes, I can see a need for it.. But I fear it is to complicated for what I need... will post more on this in next message

Ok folks, let me give you an example of what I am looking for..

I have 5 letters, all in one docx File (or RTF file)...

Each letter is seperated by one blank page.

Each letter begins like this.

To: [name]
[address1]
[address2]
[city state zip]

[date1]

Sir,
bla bla bla (various comments, descriptions, etc..)
And you will need to follow the directions on pages 22 and 23, using [chart]
If you have difficult with this refer to [table]


NOW there will be other data fields used in some or all 5 of the letters.

Right now i am using "find and replace".. what I would like to be able to do is, for example, go to the [name] field, and type over the [name] and have [name] disappear and in its place on all 5 letter, have what ever I typed in, appear in the data fields on all 5 letters where [name] used to be..

That make sense to anyone?
