Cross references not updating correctly
I'm seeing persistent (though intermitent) problems when using cross references in Word 2007.
Typically I create cross references to a numbered item (usually a numbered Heading 2 or Heading 3), with a reference to the paragraph number and a reference to the text. This works fine. Then, if I add new numbered items to the list and then try to update the cross reference, I run into problems. The paragraph number often won't update to the new number at all, or sometimes goes to '0'. The paragraph text often comes in with a line from the previous numbered item as well. For example, I start with: 2.3 Process Item 2.4 Notify Client And a reference to "See step 2.4 Notify Client" Where 2.4 is a paragraph number cross reference and 'Notify Client' is a paragraph text cross reference. I then add a new item, so I've got: 2.3 Process Item 2.4 Check for Exceptions 2.5 Notify Client When I update I get: "See step 2.4 Check for Exceptions Notify Client As shown, the cross ref text is bolded as if it were now a heading, and it is showing the header titles for both 2.4 and 2.5. Additionally, I'm sometimes seeing internal cross references that, when I try to follow them, attempt to open a new document and give a warning about only following trusted links instead of just navigating to the cross reference target in this document. Any thoughts on what would cause this problem or how to avoid it? |

Hi CLWriter,
When inserting cross-references to headings, it is important to not create a new paragraph below that heading by simply going to the end of the heading paragraph and pressing Enter. That tends to extend the bookmark used for the cross-reference into the new paragraph. Next time the cross-reference is updated, you get spurious extra content. Also, when inserting a cross-reference, don't apply any character formatting to it; otherwise, if you add more text to the source, you may find that the additional text doesn't get the right formatting next time the cross-reference is updated. Use a Charformat switch in the cross-reference field instead - see Word's Help file for details.

Paul,
Thanks for the response! I'd started doing some experimenting and begun to suspect it was coming up when I started a new header line by hitting return, but I chalked that up to my tendency to insert in the middle of a list of numbers by hitting 'enter' at the beginning of a later list item. Any idea on what would cause the links to try to open it as a new document? |

Without seeing the document, I'd only be guessing. The guess would be that you have a hyperlink pointing to another document.

In case anyone else is reading this and puzzling, I figured out the cross references trying to open as links. It wasn't a problem with Word at all; its our change management system. Because the document is stored on a server but is checked out to a local copy for editing, the links point to the actual stored location of the document.
