Hi I am using Outlook 2010 to store my contacts and I am trying to print envelopes via word with the single envelope merge.



I can select the contact I need but when I review the address it is in the US format not Uk

IE the post code is the last item in the address for the uk but outlook places it on the same line as the city

Can I stop this please

I can get word to print the correct way from a excel contacts file but not from a outlook address book

I need the printed envelope to look like below

Name
Address
City
County
Post Code

But outlook insists on the following

Name
Address
City, Post Code
County

My regional settings on the computer are UK and the setting for location is Uk

Help please

The simplest option would be to use http://www.gmayor.com/Envelope_Label_Add_In.htm .

See also http://www.gmayor.com/changing_envelope_layout.htm which demonstrates how to configure the envelope tool to format the address.

Mail merge is overkill for a single envelope, but if you want to use that, then don't use the addressblock field. Use instead the individual fields that make up the address.

Let me explain what I am trying to do I have a Outlook.com email account and if I get a new contact when I am out I add it to my phone and that automatically updates the address book in outlook.com or if I add a new contact in Outlook.com it automatically updates to my phone.
Then if I need to send a letter I start word and select the Mailings tab and then the single envelope tab and then select the outlook.com address book and then select the contact I need Word get the address and places it on the envelope, all this works fine .

But the layout is not the same as in the address book post code has moved to the same line as the city? I can import an address from a excel file and the address layout it the same as in the excel file its just when I try it direct from outlook 2010.

The other problem is Word prints the address on the bottom third of the envelope and I would like it more in the centre of the envelope.
I will try what you have advised and see if that works

I should point out that Outlook.com and Outlook (part of Office) are not the same things. The second of my previous links should help.

Thank you for the advice I realize that the two are different I am just using outlook.com to store my address book and I view them with outlook 2010.

I have tried your second link and it solves my quest to a point I have now altered the default position of the address on the envelop using your excellent advice

But when I import an address from outlook 2010 address book it still places the post code on the same line as the city, and I need it to be on the last line of the address?

Using your advice I can move the default position of the address on the envelope for the single envelope printing option in word, but I am on able to change the default position if I use the mail merge, is that a different process.

If I am not able to get addresses formatted as I need then when imported from outlook 2010, is there a way I can select a different address list from the single envelope option in word

I have had a look at your example in the ling but I am afraid that Macro's and VBA is well above what I can master

I just thought that there would be a setting in outlook 2010 or word to format the single address to one that suited me

This has nothing to do with macros. It's an autotext entry - there's no programming involved. Copy the text

{<PR_GIVEN_NAME> <PR_SURNAME>
}{<PR_COMPANY_NAME>
}{<PR_POSTAL_ADDRESS>}

to a blank document. Select it then press ALT+F3 give it the name AddressLayout (no spaces) and save it in the normal template. The insert address function will then use this format.
The only VBA programming is in the add-in which I suggested you might find useful and that is already done for you.

Thanks for all your advice it is much appreciated you taking the time and trouble to help me.

But as I said this only started as a little project to fill in some spare time but it has quickly developed into a major project and has started to do my head in.
I have found a way that suits what I need to do I have made a word document with the envelope size and style I wish to use and saved it as a document.

Then to print an address I start outlook 2010, select the record or record’s I wish to print, then go to mail merge, then select only selected records, then I need to select existing document with the envelope style I saved before, and then under merge option select envelope option and then print, this then prints the address just as I wanted, Job done.

There is one point I am not able to understand if I follow the above procedure it all works just fine I get the address printed as
Name
Address
Town
County
Post Code

But if first start Word 2010 then go to mailings, then select the create the single envelope option and pick an address from Outlook address book, the address is printed as below

Name
Address
Town, Post Code
County

As you can see the post code has jumped up 2 lines

I am not able to understand if I start a mail merge from word then import an address from outlook address book the post code is then on the same line as the town and not after the County line. But if I start outlook first then mail merge from outlook into word the address is printed ok ?
