Email Spoof Help
My manager at work needs to send out a lot of e-mails and then he needs me to file the information from the replies. Ideally, we want the recipients to see his name when it enters their inbox, but when they click reply we want it to reply to me. What would be the most efficient way to set this up?
I've thought about using the "on behalf of" idea, but people need to see his name in the inbox instead of mine (politics ). |

When you setup an email account, you can use his name and your own email address.

That's an interesting idea, but if people notice the e-mail address they might be hesitant to respond.
From what I've read, there's a delagate option that allows a user to send an email on behalf of someone else without the "on behalf of" phrase. I'm not sure how to set this up though. One site I read said that if I had complete access to an Inbox, then I could send e-mails as if I were my manager. |

If you only want his email address seen by the recipients, the returned emails will go to his account no matter how you configure it. Let's list the possible options according to the email status:
Stage 1. The email reaches your email server, at this stage, your manager hasn't received it to his desktop, the administrator can filter this email to your account with some rules. This is the best option to me, because your manager doesn't have to know the emails at all. Stage 2. If you can do nothing at stage 1, either you or your manager will receive the emails to the desktop. He can setup a rule in Outlook to forward a copy to you. You can also receive the emails directly with his account, by this way, you need to leave a copy on the server, otherwise you get all his emails. So the solution will depend on the email server, what email server do you use? Do you have an admin managing the server? |

Stage 1 is the way to go. I checked out "Rules and Alerts" and saw I could make a custom rule that would automatically forward any messages he receives to be sent to me. I can set this rule only for messages with the appropriate subject line so I won't get any of his other mail either. This sounds like it should work, I'll just have to have him send all of the original e-mails.
*EDIT* Is there a way that I can send mail from his outlook though? Besides taking his computer and sending out e-mails, what would be the next best way to do this (is there some type of special Delegate option maybe)? I'm not sure what email server we're using (SMTP if that makes sense). And yes, there is an admin managing the server but the turnaround on contacting him would be pretty long. |

You seem to misunderstand my post. Stage 1 requires admin's involvement. You are looking at stage 2.
Yes, you can access his email account on your computer, just add another email account in Outlook. (Tools -> Email Accounts -> Add a new e-mail account). If you also receive emails with this new account, you have to be careful - make sure you check the option "Leave a copy of message on the server", also check this option on his computer. Please note that, you have two options to receive these emails: Option 1. You setup his email account on your computer, since both of you access the same account, you have to make sure the emails remain on the server after one of you receive them. Option 2. He forwards his emails to your own email account. Overall, option 1 is for you. Hope I make it a bit clearer, I find it's hard to explain this scenario. |

The option Leave a copy of message on the server is a bit hard to find, I will explain it in more detail if you need. For now, I want to make sure that we are on the same page.

We're on the same page now, I did misunderstand your post earlier but Stage 2 is what I was referring to.
It seems like setting up his outlook on my computer and selecting "leave a copy of the message on the server" would work perfectly. I google'd that phrase and found instructions on how to find that option. My knowledge of Outlook is pretty limited, but from my understanding if I check this it will download the e-mails to my hard drive while still letting him view the e-mails on his computer, correct? You've been a HUGE help so far!! |

It's a temporary task - once we receive replies from everybody we should be all done, so I'll make sure to uncheck the option. Still, it doesn't seem like it would hurt to use the "remove after xx days" either seeing as how we should both receive the e-mails within minutes of them being sent (it can't hurt to be safe for things like weekends though).
Thanks again for the help. Personally, I think it's goofy how people won't respond to an e-mail if I write it (I'm new to the company) but if they see my manager's name they'll take the time to write back. Welcome to corporate America |
