Default Envelope merge with specially formatted envelope not working.

The envelope merge demands that I have separate address, city, state, and zip code fields.



It also insists on printing the return name and address in the same font and size.

I want the return address printed in a certain way, with different font sizes for each element. I have this composed in an otherwise blank document.

I want the destination address printed at a predefined place on the envelope.

I have an Excel spreadsheet which has the house number and street in one column, and the city, state and zip in another column. These are all text only columns.

How do I get the mail merge (wizard or otherwise) to let me do it my way? It was very easy in Word Perfect.

You can format an envelope in any way you want. Envelope Addresses are normally formatted with the Envelope Address style and return addresses are formatted with the Envelope Return style. You can modify the styles in your merge document with whatever fonts you have available.

Put the address merge fields in the address frame assembled how you wish them to display. Put the return address on the envelope where you want and apply manual formatting to those parts you want in a different font size.

Thanks Graham. You have a most instructive website!

It seems very easy to me to do this in either IBM Mainframe DisplayWrite or in WordPerfect. You just park individual fields where you want them. But, WordPerfect crashes this Win7 machine and since I retired I don't have a mainframe to play with.

The frame thing on the envelope is impossible for me to use. I am 75 years old and have cataracts so I use reverse video (green over black) and the frame is not visible.

Can I just define a sheet of paper the size of the envelope and put the fields on it using tab stops? That would avoid the messy and demanding envelope wizard and the confusing envelope template. How would I get this sheet to print sideways - in landscape?

If you click the ¶ button or CTRL+SHIFT+8 then the frame is around the ¶ symbol in the middle of the envelope. Put your fields in front of the symbol.

Thank Graham, I'll give it a try. I usually have the spaces and paragraph marks visible anyway.

What about my idea about pretending it's just another piece of flat paper and setting the location of the replaceable fields with tabs or margin changes. Do you think that will be simpler for me?

It should work as long as you don't use custom paper sizes. Whether it is easier is debatable, as Word already provides the formatting as I described.

You might be interested in http://www.gmayor.com/Envelope_Label_Add_In.htm which will mark the position on the merge fields on the envelope, though you will probably still have to setup the envelope template and manually add the return address as it doesn't cater for mixed fonts in the return address (I must make a note to see if I can address that).
