Default Printing a Mail Merge output file

I used MM to bring specific columns of data from an Excel spreadsheet into Word & create placards for pallets of material. Different lines have different font size, etc. Basically 4 lines (columns) per page, for 225 Rows of data.



I tried using "Normal Word Document" under Start Mail Merge, but to print a range it still requires me to use an "s" before each page# (s2-s5).

I got the impression that if I created it as a "Normal Word Document", I should be able to print normally.

Any way I can make the output document print like a normal Word document?

Any help is appreciated.

A 'Letter' merge, which is what you've used, has a Section break between letters. For what you want, a 'Directory' merge would be required, but your mailmerge main document would also need to start off with a manual page break at the end of the range.

I've tried starting with both "Letters" and "Normal Word Document", with the same result.

I'll try "Directory" when I get in tomorrow.

The "Normal Word Document" option has nothing to do with a mailmerge per se. What it does is to remove the embedded SQL data from the mailmerge main document, so it's no longer a mailmerge main document. Once you do that, you can no longer execute the mailmerge.

I tried "Directory". It did allow normal printing (no "s"), but unfortunately it also removed the formatting/protection that kept the data on each separate page.

If something took an extra line due to size, it pushed info to the next page, or sometimes it pulled info back from the next page.

Guess I'm stuck with using the "s" for printing ranges. Not a huge problem since what I'm doing requires the entire range be done anyway.

It would have been nice, if I send the file to someone else, that they could print a range without special instructions.

I appreciate the help.

Going back to the original premise of producing placards, there are a couple of other options that you might consider.

1. Merge only the records you want directly to the printer.
2. Merge to separate documents, using http://www.gmayor.com/individual_merge_letters.htm
3. You could probably even use my envelope and label add-in http://www.gmayor.com/Envelope_Label_Add_In.htm which will work with an Excel data file to print individual 'labels'. This does of course mean setting up your document as a custom label. It also depends on the complexity of the document.

but if you stick to the present method, you have to print sections.

If you were to pay attention to all of the advice I gave, you wouldn't have this issue.
